As a member of our hospitality team, the primary responsibility of a Rooms Controller is to ensure the efficient handling of all group, VIP, and special request reservations. This role is responsible for coordinating reservations and ensuring guests' specific requirements are met by closely monitoring room availability and proactively pre-blocking rooms for groups, VIPs, and guests. This role requires excellent organizational and time management skills, strong attention to detail, effective communication abilities, and proficiency in various software and office tools to ensure a seamless and personalized guest experience.

  • Assist the Front Desk Manager with credit reports and follow-up, ensuring accurate and timely handling of guest payments.

  • Ensure proper handling of airline contract rooms, providing a seamless reservation process for travelers.

  • Prepare Express Check-ins, expediting the check-in process for arriving guests and enhancing their arrival experience.

  • Check the trace file for arriving groups, taking proactive measures to prepare for their check-in and special requirements.

  • Interact with Sales Managers regarding the proper handling of their groups, ensuring a coordinated and tailored guest experience.

  • Collaborate with Housekeeping to prioritize VIP arrivals and expedite room readiness, enhancing guest satisfaction.

  • Run necessary reports for the shift, staying up-to-date with room availability and guest arrivals.

  • Answer the room's control phones, providing prompt assistance to guests and resolving any queries or concerns.

  • Check house count and establish a selling position with the shift manager, keeping abreast of room availability throughout the shift.

  • Pre-block special requests, packages, VIP, Marquis levels, suites, Platinum, and Black card guests, ensuring their specific needs are met.

  • Prepare coupons for guests on special package rates, ensuring they receive the entitled benefits during their stay.

  • Follow correct check-in/check-out procedures for all guests, ensuring a smooth and efficient guest registration process.

  • File keys and registration cards, maintaining accurate records and data for efficient room management.

  • Take same-day reservations at the front desk, familiarizing yourself with cancellation policies and walk procedures.

  • Ensure all pre-registration needs are met by preparing registration cards and key packets in advance to expedite the check-in process for arriving guests.

  • Communicate information accurately, ensuring guests receive correct and up-to-date details regarding their reservations.

  • Knowledgeable about room locations, types, building layout, and hours of operation, providing guests with helpful information.

  • Well-versed in Property Management System (PMS) procedures, effectively utilizing the software to manage room assignments and guest profiles.
