The role you will play:

The Regional Oncology/Hematology Clinic & Infusion Center Operations Manager is responsible for the day-to-day oversight and leadership of multiple physician oncology clinics and hospital-based infusion centers ensuring the delivery of high-quality, accurate, and safe oncology and hematology care. The role includes leading and supporting administrative and highly skilled clinical staff to function at a high level while providing quality advanced care to oncology and hematology patients in line with the mission of the Cancer Center as well as the Oncology Group. Reports to the Director of Clinical Services.

  • Responsible for staffing, scheduling and flow of the physician oncology and hematology clinics and hospital-based infusion centers to ensure a safe environment and quality patient care.
  • Maintains established clinic and hospital-based policies and procedures, goals and objectives, quality assurance program, and safety standards. Ensures policies are communicated and administered on a consistent basis.
  • Performs staff/physician rounding to support communication of the organization’s goals and priorities, share information, and solicit feedback.
  • Routinely monitors patient experience results and develops action plans for improvement in collaboration with staff and physicians.
  • Evaluates clinic and infusion center staffing needs and makes recommendations to senior leadership as needed.
  • Interviews, selects, hires, orients, and trains employees for physician clinics and infusion centers.
  • Establishes and evaluates core competencies for all administrative and clinical staff.
  • Supervises and evaluates performance of staff annually. Acknowledges and commends high-performing staff and appropriately applies disciplinary measures as necessary.
  • Evaluates nurse practitioners in conjunction with their supervising physicians.
  • Meets with administrative and clinical staff on a monthly basis.
  • Ensures appropriate staffing mix and allocation of staff in administrative services, clinics, and infusion centers.
  • Determines day-to-day team assignments based on clinic appointments for physicians or non-physician practitioners and oncology/hematology infusion appointments. Demonstrates an understanding of workload ratios, individual team member skills related to competency, and the formation of optimal teams in order to provide top quality customer care.
  • Identifies staff learning needs and ensures team development of all clinical and non-clinical staff. Implements measures to ensure retention of high performing staff.
  • Collaborates with other medical disciplines, departments, and physician offices to ensure efficient and timely coordinated patient care as needed.
  • Ensures staff utilize all accounting, information service, and clinical EMR applications in an appropriate and efficient manner. Arranges for administrative and clinical staff training as needed.
  • Ensures clinic and infusion center administrative and clinical staff collaborate with and support the business office to ensure timely and accurate pre-authorizations, initial collections of co-pays, and billing of claims. Works with financial services for timely resolution of delayed claims, or other charge issues which would delay patient billing.
  • Ensures collection and assembly of patient demographic, medical, and payer information; documentation of all medical services provided to patients as part of the patient’s medical record and for the purpose of appropriately billing the patient and/or his or her payer(s).
  • Develops and monitors clinic and infusion center capital and operational budgets. Ensures efficient and timely billing and collection process. Reviews current status of patient accounts to identify and resolve billing and processing problems in a timely manner.
  • Supervises and approves payroll preparation and monitors combined time off, call-ins, and overtime.
  • Develops, evaluates and improves quality and performance indicators.
  • Collaborates with program leaders to develop, review and revise policies and procedures for the clinic to ensure compliance with safety, The Joint Commission, CLIA, OSHA, Infection Prevention and other regulatory/accrediting agencies and any applicable state laws.
  • Maintains HIPPA compliance and role models strict confidentiality regarding patients and staff.
  • Ensures compliance with regulatory and governmental agencies.
  • Maintains operational reports, records, and collects statistical data for administrative and regulatory purposes.
  • Develops and directs efficient materials management process. Ensures cost-efficient ordering and utilization of supplies using preferred vendors.
  • Collaborates with vendors, contractors, building maintenance, and others that interact with the clinics and infusion centers.
  • Attends meetings and actively participates on interdisciplinary committees as needed.
  • Stays current on issues related to cancer and patient care.
  • Exhibits a high level of customer service ethics, with courteous demeanor and the ability to process patient and public inquiries, including complaints, and responds with poise and efficiency.
  • Enhances professional growth and development through participation in educational programs, knowledge of current literature, in-service meetings, workshops and membership in professional organizations.
  • Models the Standards and Behaviors of the health system to foster a positive work environment.
  • Local travel required.
  • Performs other duties as assigned or requested.

Background:

  • Bachelor’s degree or equivalent combination in healthcare management, business or other related field. RN, Pharmacist, or Medical Technologist strongly preferred. Master's Degree preferred.
  • Three (3) years’ experience in related health field, preferably in an oncology practice setting. Two (2) years of leadership/managerial experience in a multi-physician practice(s). Familiarity with state and federal regulations for health information and privacy issues required; conceptual understanding of computers; skill in Microsoft Excel and Access.
  • Current state registered nurse license. Certified Oncology Nurse strongly preferred. Employee must have a valid Tennessee driver’s license Class D and state mandated minimum insurance coverage. Driving record must meet Health System’s minimum standards at the date of hire and throughout employment tenure.
