Responsibilities:
Department Management:
Assist in the preparation of regularly scheduled reports.
Develop and maintain a filing system, both electronic and physical.
Assist in keeping an updated and accurate contact list
Assist in safety and risk monthly training
Ensure new locations are added to the insurance program.
Assist in the annual renewal process of insurance renewal
Administrative Support:
Provide general administrative support, including answering phones, responding to emails, and handling correspondence.
Assist in the preparation of presentations and reports.
Assist with document preparation, formatting, and editing.
Utilize internal system to complete needed forms
Data Entry and Record-Keeping:
Enter data accurately into various databases and systems.
Maintain accurate records and files for easy access and retrieval.
Ensure confidentiality and security of sensitive information.
Communication and Coordination:
Liaise with internal departments and external partners as necessary.
Communicate effectively with team members and management to ensure tasks are completed efficiently.
Assist in the coordination of special projects.
Requirements:
Proven experience as an administrative assistant or relevant administrative role.
Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and office management software (e.g., MS Teams, Slack).
Strong organizational and time management skills, with the ability to prioritize tasks.
Excellent verbal and written communication skills.
Attention to detail and accuracy in data entry and recordkeeping.
Ability to handle confidential information with discretion.
Experience in a claim's environment a plus.
