Job Description/Overview

The RFP Evaluations Specialist works with SHI Management to review formal Bid Requests (Request for Proposal), determine viability for a quality response, and assign to the selected RFP Specialist. The successful candidate will maintain the active Request Queue, oversee the RFP Team Calendar, and gather additional information and documentation from various departments when needed to enhance the RFP Library and ensure a complete response that meets all deadlines and expectations. Their ongoing involvement with each Bid upon completion provides the results data for further analysis and improved best practices.

Responsibilities/Job Function

  • Review submissions to ensure Requestor has provided all necessary information and documentation and engage Sales Management when required

  • Determine if SHI can offer a complete and competitive response for requested solution and engage other/applicable departments for complex solutions for their accept/decline

  • Assign to selected RFP Specialist and launch Introductions via email notification and/or conference call including business and technical specifications

  • Assist with final review of Response ensuring completion

  • Gather Status/Results for Completed Responses for weekly, quarterly, annual analysis

Qualifications/Minimum Skills Required

  • Completed 4 yr degree from accredited US college/university

  • Experience working in a professional office environment

  • Understanding and experience in managing a process from start to finish

  • Detail oriented

  • time management and prioritization skills

  • Capable of determining priorities, goals and objectives of work functions assigned

  • Excellent with multi-tasking, follow-up and execution of assignments

  • Background in Customer Service and proven interpersonal skills

  • Customer Service work history of direct, professional interactions with customer end users (face to face, phone, email)

  • Ability to effectively work in a team environment and under general supervision

  • Tools

  • Standard Applications: Experience with Word; working knowledge of Excel, PowerPoint, Adobe Acrobat

  • Experience with Outlook; Calendar; Tasks

Preferred Skills:

  • Microsoft

  • Word track changes and version control

  • SharePoint export and views

This position is required to report to the 290 SHI Office location. Responsibilities/Job Function Facility Security Risk Assessments, Policy Creation, Maintenance, Reviews & Compliance * Completes facility security risk assessments for assigned division sites annually * Conducts periodic revisits to sites for improved security * Documents all assessments in a timely manner with complete accuracy * Prepares and presents to management and or others all assessment findings * Communicates security recommendations to appropriate departments * Create/maintain safety and physical security documentation * Complete physical security RFP documents Security CCTV Systems * Continually evaluates, determines and presents site needs * Develops comprehensive system installation project plans including materials required (based on appropriate requirements, costs, timelines, ROI) * Regularly views systems for camera clarity and placement and recording efficiency to ensure operating effectiveness -Responds to system technical issues and repairs or schedules repairs timely * Meets regularly with department management for system updates * Completes other system tasks as required Access Control * Understand and monitor SHI practices for issuing and terminating user badges * Responsible for administering, and managing badging process through the life-cycle (activating, maintenance, recovering and deactivating) for all SHI locations (as appropriate and feasible) for SHI and tenants. * Liaison and point of contact for tenants * Point of contact for SHI, if the system is not owned by us (regional office, etc.). * Ensures external processes meet SHI policies and standards; validates processes and checks in place to verify that the cardkeys or physical keys have been recovered. * Monitor access control alerts in real time – when possible * Access recertification as identified: * Access reviews to ensure appropriate level of access based upon role and position (quarterly) to all of our offices. Contractor access removed, etc. * Quarterly data center and special access reviews. Data centers, high risk rooms (generator room, etc.) * Review failed access attempts (cardkey denied) * Provide security reports * Continually evaluates, determines and presents strategic division site needs * Develops comprehensive system installation project plans including materials required (based on appropriate requirements), costs, timelines, ROI) * Regularly uses system tools to ensure operating effectiveness and efficiency * Responds to system technical issues and repairs or schedules repairs timely * Meets regularly with department management for system updates * Completes other system tasks as required Workplace Investigations (working with HR, IT, Legal, et al.) * Assist relevant departments with workplace investigations including video footage and reports. Physical Security * Responsible for SHI locations security systems and alerts (i.e., alarms, locks, etc.) * Perimeter security; including, but not limited to: * Ensure cameras are functioning at all sites to appropriate levels * Investigate Honeywell, WinPak, SiPass and EasyLobby alerts – pull in support staff as required * Walk SHI's facilities to visually inspect buildings each day to inspect physical security * Point of Contact for all security vendors for contracts, installations, repairs/maintenance and upgrades. * Review contracts for PM on intrusion and fire. * Ensure updates are completed on all camera systems, as required, manage password updates/changes and recommend new camera locations, as required. * Manage new equipment requests, ordering and setup * POC for security companies (internal/external to SHI) for guards, turnstiles, etc. * Assist with response to alarm and security events * Interactions with local fire and law enforcement divisions * Works with Security Coordinators to continually evaluate and determine site needs * Provides in-field support for alarm monitoring onsite needs (projects, system issues) * Completes system alarm testing annually * Completes system panic alarm testing annually (in applicable sites) * Completes other system tasks as required Fire Safety and Associated Training * Assist with Fire Alarm installation, maintenance, and inspections * Training * CPR/AED * Fire Life Safety (including evacuation protocols) Qualifications/Minimum Skills Required * Minimum of 5 years direct related experience * High school diploma or equivalent * Access, Intrusion Alarm, Fire, CCTV system experience * Experience in low voltage wiring is a plus * Ability to read, write, speak and understand English * Understanding of Microsoft Outlook, Excel, PowerPoint and Word * Must have effective communication skills both in writing and verbal (position requires significant interface with all levels of internal and external customers) * Must possess or be able to acquire a valid driver's license and comply with company's vehicle operations policy * Must be able and willing to take initiative and handle various tasks simultaneously while working efficiently, effectively, and independently under minimal supervision * Must be able to multi-task overseeing several projects * Able to be neat with self and conduct self in a respectable, responsible, courteous manner * Projects a cooperative and positive attitude toward customers, employees, and the company, maintaining a professional attitude when dealing with difficult situations * Ability to work hours outside normal scheduled shift with minimal notice required * Ability to keep yourself and your team safe while on the job * Keep the facilities safe and leave it clean when the installation/repair is complete * Test systems to ensure they work properly and all connections are established. * Use technical skills to read blueprints and schematic wiring diagrams and follow installation guidelines. * Ability to differentiate between different sizes and colors of wires -Ability to make cable connections in tight spaces by bending, reaching, twisting * Ability to travel (including during inclement weather) to and from assigned territories and company facilities Equal Employment Opportunity – M/F/Disability/Protected Veteran Status #LI-ES1 Shi International Corp.
