The Restaurant Private Event & Programming Managers primary focus is to promote, book, and coordinate social and corporate private dining events while aggressively generating new business relationships and further cultivating existing partnerships to ensure repeat business. Additionally, the manager is responsible for contributing to the marketing plan for the year including collaborating on ideas and bringing those ideas to fruition while keeping the marketing and hotel teams updated as to all pertinent information.
This position requires strong leadership, organization and communication skills, as well as food & wine knowledge. This position is responsible for the selling, planning and coordinating of all aspects of private event & programming functions held within the restaurant to achieve the annual private event sales plan.
General Requirements
Book events for Kingbird, The Next Whisky Bar and Top of the Gate
Book reservations/groups ranging in size from 2 guests to 120 guests
Achieve yearly personal sales booking goals.
Follow up with management day of event to finalize space layout & review BEO with manager
Attend daily BEO meetings
Attend daily F&B meetings
Attend weekly F&B marketing meetings
Collaborate with the culinary, sommelier and beverage teams on event menus
Make sure space is set accordingly before event start time
Plan upcoming marketing and holiday events for all restaurants
Decorate for all Holiday's, including igloos for winter and spring season
Manage OpenTable to ensure seatings for all 3 restaurants are maximized
Maintain accurate PDR Revenue Worksheets
Provide monthly incentive worksheets that includes all events and final receipts
Manage dining reservations email inboxes.
Daily Requirements
Respond to all telephone and walk in inquiries regarding catering / private dining space.
Follow up on leads through Gather, Dining email, Top of the Gate email as well as personal email
Prioritize inquiries and plan last minute events in a timely manner.
Input all contact information for new clients in Delphi
Create proposals and estimates for clients helping them to meet their minimums
Negotiate with clients and achieve maximum revenue/profit potential while satisfying client needs.
Act as the liaison between the client and the hotel for all the client needs, (i.e. Hotel rooms, audio visual, transportation, off-site event recommendations)
Create & Distribute BEO's
Have an excellent knowledge of Restaurant capacities and dimensions & create floorplans for all events
Keep the director of food and beverage promptly and fully informed of all problems or unusual matters
Conduct tours of the property with potential clients.
Coordinate with other departments the needs of a group which will directly affect that department (i.e. kitchen, front desk, valet, Director of banquets)
Perform other tasks or projects as assigned by the food & beverage director
Seasonal planning such as: bringing TOG furniture from storage to the hotel & floorplan setup
Scheduling igloo build & breakdown in the fall & spring
Updating new menus
Coordinating updates with bar managers regarding new marketing projects
Create holiday comparison worksheets
Pulling data from Avero
Supervise the execution of private dining events.
Block OpenTable when necessary, update floorplans and adjust seating times
Assist reservations with any OpenTable issues
Book reservations for the sales & catering teams
Book restaurant reservations and handle difficult guests
Create forms for all cakes and seduction packages
Order roses for all seduction packages
Develop creative and attractive menu presentations for potential clients.
Update PDR collateral & take pictures to send to NYC for approval to send to clients
Plan all holidays from requesting the menus from chef, to creating fact sheets & BEO's for each event
Update toglounge email away message
Create and update dining guides for Top of the Gate as well as The Next Whisky Bar igloos that are posted on the website
Email marketing materials to the PR company i.e. calendars, fact sheets & last minute requests
Providing meeting minutes after each marketing meeting
Following up with the F&B director & Chef to ensure all items are completed in a timely manner
Make sure the MOD rings Eventbrite events properly in Micros & revenue id accounted for
Follow up with New York to ensure holiday items are purchased and arrive on time
Respond properly in any hotel emergency or safety situation.
Anticipate guests' needs and to be extremely detail oriented.
Proper time management skills and the ability to multi-task.
Assist with and enforce all office policies and procedures, as well as to monitor their effectiveness.
Quickly adapt to change.
