College/Department Information

The Medical College of Georgia is one of the nation¿s largest medical schools by class size, with 260 students per class. The educational experience is anchored by the main campus in Augusta, regional clinical campuses for third- and fourth-year students across the state and a second four-year campus in Athens in partnership with the University of Georgia.

MCG¿s expanding partnerships with physicians and hospitals across Georgia currently provides about 350 sites where students can experience the full spectrum of medicine, from complex care hospitals to small-town solo practices. MCG and its teaching hospitals also provide postgraduate education to more than 500 residents and fellows in 50 different Accreditation Council for Graduate Medical Education-approved programs. Our researchers and clinicians focus on what most impacts the health of Georgia's and America¿s children and adults, including cardiovascular biology and disease, cancer, neurosciences and behavioral sciences, public and preventive health, regenerative and reparative medicine, personalized medicine and genomics. Our physician faculty also share their expertise with physicians and patients at about 100 clinics and hospitals statewide.

Job Summary

The incumbent is responsible for the day-to-day operations of the psychology internship functioning and support of the psychology faculty members. This includes but is not limited to the administrative support functions for the Section Chief, and Training Director, and psychology interns and psychology fellows on the Health Sciences campus.

The coordinator is responsible for the day-to-day of the APA training program and assisting the training director in developing and maintaining the educational quality of the training program and ensuring compliance with the APA standards and accreditation standards, the National Match, Institutional Policies, and other regulatory requirements. The coordinator functions as the liaison between the training director, the interns, fellows, faculty, participating sites, and other departments. The coordinator should be knowledgeable about compliance and APA regulatory requirements at training sites in which the interns rotate.

Additionally, the incumbent is responsible for the day-to-day functioning and support of the DBT postdoctoral fellowship, and the Child and Adolescent postdoctoral fellowship.

Responsibilities

The responsibilities include, but are not limited to:

Training Director Support:

  • Coordinate/Facilitate annual meetings with faculty, interns, site directors regarding the program

  • Annual Internship Program Review preparation includes creating the schedule and agenda, collecting, organizing review data, meeting minutes and assisting the training director in monitoring and implementing action plans

  • Track post-graduate survey results for the program with summary data tables and information as needed

Daily and Ongoing: Oversees day-to-day operations of the psychology internship program, communicates with constituents; maintains up to date knowledge of APA policies and procedures with complete and detailed understanding of all common and specialty program requirements; works with the Associate Training Director to develop rotations and schedules. Maintains schedules and sends updates as needed; manages sites and schedules; manages interns and fellows morales and responds to concerns.

Data Management and Reporting: Manages intern and fellow management system (New Innovations), to track duty hours and monitor compliance; Ensures that interns and faculty are trained to recognize signs of stress and fatigue in interns and monitors levels among trainees; manages evaluations using New Innovations; maintains interns portfolio; ensures intern compliance with APA/AU MCG procedures; ensures intern compliance with AU credentialing requirements HIPPA, immunizations and other trainings.

Fiscal Management: Forwards appropriate documentation to business manager/accountant for processing of reimbursements for supplies etc; manages resident leave requests through processing leave requests and tracking in interns and fellow management system.

Curriculum Management: Coordinates intern and fellow events including conferences, retreats, BLS training, conferences etc.; ensures completion of all APA required components of interns, faculty, rotation, program and other evaluation in the internship management system; assists in development of intern remediation plans; assists in the preparation of appropriate letter of recommendation for graduates and verification of training request; maintains intern database and hard copy files of current trainees and alumni; coordinates and staff meetings. Arranges for professional development for program faculty as needed.

Human Resource Management: Triages faculty/intern/fellow/applicant needs, advising them of policies, requirements, regulations etc.; trains additional department staff and encourages team development; ensures that confidential files and records are maintained and archived.

Intern and Fellow Recruitment:

Assemble new intern training files:

Coordinate new intern packet

Plan, Coordinate, Order, Obtain equipment as applicable for new intern, such as -

  • keys
  • space/seating requirements
  • office phones

Prepare and plan program orientation schedules, training and social activities

Train new Intern/Faculty on the use of New Innovations for duty hour reporting and evaluation completion

Schedule annual Occupational Health screenings for returning Interns/Fellows

New Intern program level orientation

Monthly: Establishes and maintains didactic schedule of events including lecture series, case conferences, journal club, etc.; coordinate and take notes for monthly core committee meeting; enters schedule information into data management systems; distributes monthly rotation schedule; maintains all essential documents required for program accreditation, including program info for, program policies, logs and other documentation; updates electronic PIF; coordinates all social functions.

Annually: Creates annual schedules; coordinates semiannual intern and fellow reviews; develops and reviews department program policies in coordination with internship training director; assist training directors in review of curriculum, rotation goals and objectives and evaluation tools for updates as needed; organizes and completes annual program evaluation report; ensures Training Director¿s completion of final summative evaluation of graduates; collaborates with Training directors regarding faculty development; organizes annual retreats including annual program review; manages applicant interview process by coordinating review and screening of all applications, contacting and scheduling interviews, managing interview day activities, and submitting rank order lists; manages appointment process for incoming interns and arranges badges, keys etc. Produces appointment packet with intern manual for incoming interns; plans organizes, and schedules program specific new intern orientation; survey alumni for feedback on training experiences and current practice locations; completes surveys and ensures information is up to date in NI systems. Submits annual reports to accreditation and other agencies; orders equipment and supplies as needed; assists in organizing graduation events and certificates; organize and coordinate Annual Workshop.

Miscellaneous: Provides office support for interns and fellows; coordinates marketing activities and communication for program recruitment; maintains historical record of the program and program library. Processes additional documentation as needed; forwards all pertinent internship training program info to web site coordinator on regular basis; collaborate with GME colleagues on local and national initiatives; attend local, regional, and national APA conferences; seeks participation and cert in professional organization; provides resources for career development, job searches, job fairs, fellowship etc.

Assist other administrative staff as needed.

Other responsibilities as requested.

Required Qualifications

Educational Requirements

Bachelor's degree from an accredited college or university and 4 years professional or administrative experience to include minimum of 2 years of educational program experience or similar experience OR Associate's degree from an accredited college or university and 7 years professional or administrative experience to include minimum of 4 years of educational program experience or similar experience OR High School, GED, or equivalent from a recognized State or Federal accredited organization and 10 years professional or administrative experience to include minimum of 6 years of educational program experience or similar experience.

Pay Band: 9

Salary Minimum: $23.46/hour - $27.69/hour

Salary to be commensurate with qualifications of the selected candidate within the established range (generally minimum-midpoint) of the position
