Position: Reservations Manager

JOB OVERVIEW: Oversee accuracy of room blocks, reservations, and group market codes. Process all reservation requests, changes, and cancellations received by phone, fax, or mail. Follow sales techniques to maximize revenue. Input and access data in reservation system. Respond to any challenges found for accommodating rooming requests. Set-up proper billing accounts according to accounting policies. Troubleshoot, resolve, and document guest issues and concerns or escalate/refer to appropriate individual.

REPORTS TO : Director of Revenue Management

ESSENTIAL JOB FUNCTIONS :

Transient/Leisure/Business Travel Sales:

  • Manage all upsells, suite sales (these reservations need to be tracked for bonus eligibility)

  • Assist with Business Travel reservations on an as needed basis

  • Ensuring all billing, credit card authorizations are actioned accordingly

  • Manage all reservations for Wholesale/FIT partners (including updating the partner extranet sites)

  • Ensuring any promotional rates are applied

  • Follow up on any billing issues from Wholesale/FIT partners

  • Manage 3 rd party reservations/extranet sites (Expedia, Booking.com, Groupon)

  • Manage all credit card authorizations for leisure and Business Travel reservations

  • Manage any ad hoc special requests for Leisure/Business Travel reservations

  • Attend Revenue Strategy Meetings as serve as back up for Director of Revenue

  • Make recommendations on strategies, restrictions based on how group is performing

  • Process all advance purchase deposits for all Leisure reservations

  • Any declined credit cards - reach out to guests via email (if one is supplied) advising reservation will be cancelled if we do not receive updated method of payment

Group Sales:

  • Understand group contracts, terminology, components

  • Understand contracted room nights, projections, associated concessions

  • Learn how to build group room blocks (mini hotels) in Marsha/PMS utilizing Marriott MGS resources

  • Ensure all group mini hotels have Opportunity ID and Quote ID attached in Marsha

  • Ensure CI-ty has group mini hotel attached to each Quote ID

  • Set up all group master accounts to ensure contracted billing is set up in advance accurately

  • Manage all aspects of group block including by not limited to:

  • Group cutoff

  • Inventory allocations

  • Group pick up

  • Room lists

  • Concession assignments

  • Billing

  • Update special notes for Call Center (i.e. do not oversell this room block, special billing, etc)

  • Clear out all group room blocks within 8 hours post cutoff date

  • Alert Director of Revenue on any groups having issues with rooms not available for entire length of stay that have not reached their cutoff date

  • Alert Director of Revenue on any rooming lists not received by cutoff date

  • Become familiar with 3 rd party partner extranets used to manage group blocks (i.e. Passkey)

  • Updated Group GRC (upon request by Director of Revenue)

  • Attend weekly Group pick up meetings

  • Actualize all group pick up post check out in CI-ty

  • Ensure Front Desk, Accounting, Food & Beverage have all necessary group turnover for seamless execution

  • Process group commissions in accordance with contract terms

  • Ability to communicate in English.

  • Self-starting personality with an even disposition.

  • Maintain a professional appearance and manner at all times.

  • Can communicate well with guests.

  • Must be willing to "pitch-in" and help co- workers with their job duties and be a team player.

  • Ability to effectively communicate with guests in a friendly and positive manner, in order to solicit business, meet client needs and resolve complaints.

  • Ability to move throughout the hotel to conduct site inspections.
