About the Job

Job Responsibilities.

This position will provide research and administrative support to the Neuroplasticity Research in Support of Mental Health (NeuroPRSMH) group. This position will be hybrid, with some in-person activities on campus. Specific division of hybrid work schedule to be negotiated upon hire.

Grant proposal management and coordination (25%):

  • Assist in the coordination, completion, and submission of grant proposals

  • Write key components of grant proposals, including general overviews and administrative progress reports

  • Edit, proofread, format, and organize technical writing for grant proposals to various funding entities including NIH, DARPA, ARPA-H, and private sponsors

  • Create charts, timelines, and tables for grant proposal documents

  • Format and manage references and citations in central database, and ensure adherence to grant proposal formatting instructions

  • Solicit, collect, organize, and compile individual faculty documents such as Biosketches and Other Support documents for grant proposal submission

  • Monitor and ensure completion and timeliness of grant proposal submissions

  • Prepare template grant proposal documents and organizes appropriate links and resources to send to faculty

  • Draft supplementary grant proposal documents, including Facilities, Resources, and Equipment documents

  • Other tasks as assigned

Research management and support (25%):

  • Monitor grant spending and fund distribution through coordination with accounting and relevant personnel

  • Coordinate regular communications between accounting and team leads as necessary

  • Prepare, track, and manage budgets for events, conferences, and other activities, including managing quotes, coordinating billing, and/or handling purchases for meeting and event support

  • Track deadlines and due dates for grant reports, data submissions, and related activities

  • Communicate key deadlines and due dates to team members, and ensure necessary information, documents, or content is submitted on time

  • Coordinate the compilation and submission of grant reports

  • Assist in the preparation and coordination of manuscripts, providing writing, data analysis, references, etc., as needed

  • Solicit, collect, and organize applications for internal seed grant support

  • Supervise and manage work study students, as applicable

  • Other tasks as assigned

Internal team coordination and communication (20%):

  • Manage internal communication among group members and between group members and group directors

  • Distribute information about group opportunities and resources

  • Handle administrative and organizational duties to ensure smooth operation of the group

  • Discover, track, and solve technical and operational problems that arise

  • Initiate, design, and develop group strategy materials, such as research aim mind maps

  • Designate, compile, edit, and maintain group listservs, Google Drive, and shared group calendars

  • Plan and facilitate weekly group and sub-group meetings, including setting up needed technology for zoom and in person meetings

  • Plan, organize, and oversee logistics of group meetings, events, and seminars

  • Take notes at group meetings, track time keeping, and take note of follow-up items as needed

  • Communicate important information and action items to the group pre- and post-meetings

  • Monitor progress and workflows across the group, send reminders or updates to group members as needed

  • Solicit input from group members on group activities and support, and address and implement member feedback

  • Field and fulfill individual member requests for assistance, information, or delivery of feedback to group directors

  • Other tasks as assigned

Data management and analysis (20%):

  • Assist in the creation, management, and maintenance of a central database for group

  • Support access, maintenance, and upkeep of the central database

  • Ensure adherence to regulatory requirements and guidelines in data management

  • Work with team members to perform various steps within data collection, management, and analysis, as assigned

  • Perform various data analysis tasks as assigned

  • Program scripts to perform data-related tasks, including curating, aligning, and analyzing datasets, and related actions

  • Create graphs, tables, figures, or other content to present data

  • Perform various other tasks related to data management, data analysis, and data architecture, as assigned

  • Other tasks as assigned

Team development and advancement (10%):

  • Pursue efforts related to growing the group's reach and recognition

  • Help shape the group's identity and trajectory

  • Find new programs and initiatives for the group to participate in

  • Ideate initiatives and strategies to optimize the efficiency and utility of all the actions and processes within the group and for the group

  • Promote research collaboration efforts by organizing sub-group meetings to pursue projects and grants

  • Serve as liaison for the group with administrative staff, accounting, and other departments

  • Coordinate with prospective event venues for visits, tours, or other events

  • Coordinate external communications and serve as main point of contact for logistical needs

  • Serve as lead for external faculty visits, talks, and meetings, including managing itineraries, travel logistics, transportation, and reimbursements as applicable

  • Lead coordination for external and internal advisory board meetings, visits, reports, and related activities or content

  • Represent the group for external communications with sponsors, donors, public inquiries, and similar entities

  • Serve as lead for event coordination, including communications and coordination with speakers and event staff

  • Manage social media accounts and websites for the group

  • Monitor strategic communications (social media, sponsor websites, email communications, etc.) for important information relevant to the group and related efforts among team members and communicate those to the group in a timely fashion

  • Other tasks as assigned

Qualifications

Required Qualifications.

●Master's Degree and 2 years related experience, or BS/BA and 4 years of related experience.

●Previous experience in grant proposal coordination including writing and editing proposals, coordinating supporting documents, and assisting in submission processes

●Previous experience in conference and/or event coordination and management

●Previous experience in data analysis and database management

●Strong organizational abilities

●Excellent communication skills

Preferred Qualifications:

●BS/BA in biology, biological engineering, computational biology, or related field and at least 4 years of related experience

●Programming experience in Python, MATLAB, and R
