Job Summary

Oversees, monitors, and maintains ARD financial records to ensure accurate and up-to-date financial information. Assists ARD staff, researchers, and consultants with grant projects. Prepares quarterly reports for Division and grant deliverables and submits to ICN at the University of Mississippi. Maintains an organized and accurate filing system of grant deliverables, correspondence, and reports for grant activities. Oversees daily operations of the division and ensures effective organization, operation, and maintenance of physical facilities.

Primary Duties and Responsibilities

  • Oversees daily operations of the division with little to no supervision, including maintaining an organized and accurate filing system for budget, grant deliverables, correspondence, and reports for grant activities; reconciles financial information monthly and prepares monthly financial reports and budget analyses of division accounts and report findings to Director.

  • Oversee, monitor, and maintain ARD financial records in compliance with the university financial management procedures and according to the grant agreement using an internal financial system to ensure accurate and up-to-date financial information.

  • Prepares quarterly reports for division and submits to ICN at the University of Mississippi. Prepares grant deliverables for submission as outlined in the grant agreement and ICN policies. Maintains accurate records of all transmittals.

  • Coordinates meeting planning activities by serving as meeting and event coordinator; organizes meetings; makes travel arrangements for participants; processes requisitions for purchase orders regarding lodging and airfare for participants; adds participants as vendors in the university system; makes meal arrangements for meetings; assembling meeting handouts and presentations; assisting meeting facilitator as deemed necessary; and preparing and processing reimbursement requests for participants.

  • Manages general administrative duties, including handling incoming and outgoing communications, preparing correspondences, maintaining office supplies, and maintaining employee records.

  • Oversees facility management, including the maintenance of office equipment and infrastructure, coordinating with IT support, managing space allocation, facilitating communication between different departments, and performing other duties as assigned.

Minimum Qualifications

Bachelor's degree in business administration, finance, public administration or related field from an accredited four-year college or university with a minimum of one (1) year of experience and/or training in office or research administration, including budget management, research regulation knowledge and/or program management; or equivalent combination of education and experience.

Knowledge, Skills & Abilities

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.

  • Ability to write reports, business correspondence, and procedure manuals.

  • Ability to effectively present information and respond to questions from groups of managers, stakeholders, and the public.

  • Ability to edit documents, including spelling and grammar.

  • Ability to communicate professionally with a diverse group of people.

  • Ability to establish and maintain exceptional organizational skills and attention to detail.

  • Skilled in managing one's time.

  • Knowledge of accounting, budgetary, and management principles, practices, and procedures.

  • Detail oriented.

  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

  • Proficient with Microsoft Office including Word, Outlook, Excel, Adobe Acrobat, and Form Stack.

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.

  • Ability to deal with problems involving several concrete variables in standardized situations.

Preferred Qualifications

Master's Degree from an accredited college or university in business administration, finance, public administration or related field and 3 years' experience in a university setting.
