Job Posting Description

The Research Administrator will be responsible for:

  • Assisting in pre-award functions such as preparing grant applications to ensure conformity with relevant sponsor guidelines, regulations and hospital policy. Coordinating collection of grant application materials and receipt of institutional reviews and approvals to ensure timely submissions.

  • Preparing financial transactions, such as employee travel and other reimbursements, approving purchase requisitions in accordance with sponsor and hospital policy.

  • Working with appropriate institutional central offices to troubleshoot and resolve matters.

  • Assisting in the review of financial reports to monitor grant expenses to ensure compliance with sponsored award terms/conditions. Assisting in preparing effort and financial reports for PIs to assist in monitoring spending rates and planning for future spending needs.

  • Participating in timely grant/award renewal process and the orderly closeout of sponsored activities.

  • Attending institutional training to keep skills current and knowledge up-to-date on sponsor regulations, hospital policies and emerging technologies.

To qualify, you must have:

  • High School Diploma/GED or 2 years of Research Administrative Grant Experience or Finance experience.

  • Bachelors Degree is preferred.

PPPL is dedicated to developing the scientific and technological knowledge base for fusion energy. The Laboratory advances the fields of fusion energy and plasma physics research to develop the scientific understanding and key innovations needed to realize fusion as an energy source for the world.</p><p>The Executive Research Administrator for Sustainability Science provides research support to the Office of Sustainability Science for PPPL. This position has primary responsibility for the smooth research office operation of the Sustainability Science research group, consisting of research staff, postdoctoral fellows, and students, both on and off-campus, as well as support for Sustainability Science Initiatives at PPPL.</p><p>This position will support a range of research operations and administrative matters. Will use discretion to prioritize and execute tasks consistent with the executive management team member's goals and standards. This includes making judgments regarding priority. Editing and proofreading scholarly content and creating, editing, and proofreading other documents and correspondence expected upon request.</p><p>Responsibilities</p><p>Core Duties:</p><ul><li><p>Generates executive level correspondence, briefing materials, and other documents to final form, applying appropriate grammar, sentence structure, punctuation, spelling and context.</p></li><li><p>Ability to thoroughly edit and proofread any materials including research group member manuscripts, proposals, reports, and communications.</p></li><li><p>Responds daily to requests which can be complicated or sensitive and can necessitate an appropriate setting of expectations and prioritization.</p></li><li><p>Decides daily which inquiries can be handled directly, which should be referred elsewhere, and which must be addressed by others. Responds independently to inquiries and requests for information from external sources.</p></li><li><p>Organizes and sets priorities among a variety of complex tasks, including a high volume of regularly occurring work and a constantly changing array of special projects and calendar scheduling demands.</p></li><li><p>Organizes, manages, and provides support for special events and programming; undertakes research projects and collects and analyzes data as background for meetings and special initiatives.</p></li><li><p>Manages the collection, production, and dissemination of materials for meetings and events; prepares Power-Point presentations and other materials in electronic or printed format.</p></li></ul><p>Qualifications</p><p>Knowledge, Skills and Abilities:</p><ul><li><p>Must have at least five years of research and executive level office experience, 2- 3 years in academic administration or comparable role.</p></li><li><p>Must have high level of writing skill to generate executive level correspondence, briefing materials and other documents to final form, applying appropriate grammar, sentence structure, punctuation, spelling and context. Ability to thoroughly edit and proofread any materials including research group member manuscripts, proposals, reports, and communications.</p></li><li><p>Ability to research administrative and higher education topics. Skill in writing concise and accurate summaries of research materials.</p></li><li><p>Ability to deal with highly confidential matters and materials.</p></li><li><p>Demonstrated success in working in an environment with competing priorities and ability to work well under pressure or limited time constraints and in collaboration with others.</p></li><li><p>Exceptional time management, communication, and organizational skills, aptitude for multitasking and ability to set priorities based on unit needs pro-actively, with sound judgement by anticipating probable outcomes and work with ambiguous or undefined information.</p></li><li><p>Demonstrated ability to meet deadlines in generating work product.</p></li><li><p>Superior attention to detail, accuracy, and highest standards for quality work.</p></li><li><p>Strong knowledge of Google Suite Products (drives, docs, sheets, slides etc) as well as Microsoft Office Suite (Word, Excel, Power-Point) and other related software applications for generating written and web material in appropriate format.</p></li><li><p>Skill in tracking activities using electronic and other methods.
