About Faculty Staff Housing (FSH)

This Opportunity

The Report & Budget Administrator is a member of the FSH Rental Communities Office, reporting to the Associate Director of Rental Communities Asset Management. The Rental Communities team is primarily responsible for managing over 2,000 rental units located in seven distinct communities both on-campus and off-campus. The Rental Housing Programs are comprised of residential leases of apartments, condominiums, and single-family homes. The team is responsible for development and management of rental eligibility, 3rd party property managers, community programming, capital improvements, financial reporting, and aiding with other rental resources in the cities surrounding Stanford University.

The Report & Budget Administrator's responsibilities are focused on liaising with the portfolio of Stanford rental properties to accurately review, record, and report income and expense at each property. The position will also assist the Property Managers with completing annual FSH accounting and budget cycle activities. This position will administer the monthly journals for each community as well as review and audit the weekly, monthly, quarterly, and annual reports submitted by each community.

The ideal candidate has a passion for customer service, is proactive and a dependable self-starter with strong interpersonal and communication skills. The position will provide financial analysis, forecasts, and recommendations to FSH. This position serves as a representative of the FSH Office and as a subject matter expert for rentals related financial, policy, procedural, and technical issues. This position manages a wide variety of tasks in a fast-paced academic environment, requiring a high level of professionalism, productivity, accuracy, organization, multi-tasking, independence, sound judgment and decision-making.

Core Duties

  • Perform and design ad hoc analyses of large complex data sets: reconcile complex accounts. Identify and resolve complex issues which may span multiple areas.

  • Review and audit the weekly, monthly, quarterly, and annual reports submitted by each community. Enter and audit the monthly financial journals for each community.

  • Construct and assemble data for budgeting and decision making; develop conclusions, and present high level summary of recommendations. Will develop annual budget for individual department/unit.

  • Execute internal control programs established by management, research new regulations, and recommend and implement approved changes.

  • Will manage compliance program for area of responsibility and create complex compliance reports.

  • Assist with property acquisitions and dispositions. Analyze rental market and suggest appropriate market, affiliate, and below market rates (BMR). Preparation of pro-forma budgets.

  • Provide consulting advice to client group(s); serve as a resource on matters that require specific technical, financial, or subject matter expertise; support negotiations with external partners.

  • Assist with risk management functions, such as tracking compliance with property taxes and insurance requirements. Monitor and correspond with borrowers, homeowners, and renters who become out of compliance with FSH programs, building regulations, etc.

  • General Administration: Regular property visits to meet with property management personnel, realtors, or contractors. Tour property to assess furniture, fixtures, and equipment (FF&E), and other capital improvements. Provide direction and monitoring of property maintenance and capital projects ensuring compliance with current FSH standards.

  • Participate in critical analysis of existing systems and processes and identify opportunities for process improvement.

  • Serve as a first line resource to client groups on financial matters in work unit.

  • Understand and participate in cross training on core functions in work area or unit; serve as a back-up to other functions.

  • Other duties may also be assigned.

Qualifications

Education and Experience:

Bachelor's degree in business administration or related discipline, or an equivalent combination of technical education, training, and experience. Three years of related, progressively responsible experience.

Knowledge, Skills, and Abilities:

  • Strong customer service knowledge and experience is required.

  • Understanding and ability to apply basic accounting skills and concepts.

  • User knowledge and demonstrated experience of financial systems, internet, and computer literacy.

  • Demonstrated ability to take initiative and ownership of projects.

  • Demonstrated excellent organizational and time management skills.

  • Demonstrated ability to prioritize own work and multi-task.

  • Strong communication skills, including ability to prepare materials for, and clearly and effectively communicate information to internal and external audiences and client groups.

  • Advanced proficiency in business applications such as Microsoft Office suite, especially Excel.

  • Valid driver's license and ability to travel to multiple sites required.

Physical Requirements:

  • Job is intermittently sedentary, but requires mobility (i.e. climb stairs,) to tour properties, regularly.

  • Job will require some repetitive motion of hands/wrists in using computer, etc.

  • Job may require some light lifting.

Working Conditions:

  • May infrequently work extended hours. Travel to sites in general vicinity of the University.

The expected pay range for this position is $44.23 to $55.77 per hour.
