JOB SUMMARY: Under the direction of the Manager of Rahab, the Rehab Scheduler accurately and timely makes and schedules appointments, obtains Medical and Financial clearance for patients in an efficient manner, and provides essential daily clerical support to the Manager of Rehabilitation and Therapy Staff.

PERFORMANCE DIMENSIONS AND TASKS

Essential Function

1.Practices good and effective communication skills, whether on the phone and in person.

2.Promotes a Culture of Safety by acting as a team player and team support person.

3.Behavior and Actions while at work serve to promote a professional, friendly, and functional department.

4.Maintains patient confidentiality within the Health Insurance Portability and Accountability Act (HIPAA) guidelines.

5.Completes tasks in a prompt, pleasant, and helpful manner when greeting patients, families, and visitors.

6.Works with the Rehabilitation Services Manager to organize the Daily Schedule in a manner that promotes an efficient patient flow and provides excellent customer service.

7.Is cross-trained to cover and support the Patient Access Team when covering for breaks and/or lunches as needed.

  • Pre - Register new patients

  • Verifies patient insurance eligibility and obtains pre authorizations, when needed, in a timely fashion.

  • Communicates with insurance company representatives in an effective manner to obtain pre authorizations when required, and provides the insurance company with necessary clinical information, including CPT procedure codes and ICD diagnosis codes.

  • Collects Co-pays.

8.Updates Rehabilitation Services Schedule daily and tracks Cancellations, No-shows, errors, and Re-schedules. Also updates the daily statistical spreadsheet which is to be presented at huddle the following morning.

9.Responsible for coordinating with the Therapists any special equipment and information needed for the appointments.



  1. Information is given to the therapist or person responsible in an orderly and timely manner (date, time, name, information regarding the situation).

  2. Effectively utilizes the Cerner Electronic Medical Record and documents all communication regarding patients.

  3. Helps out as needed in the Front office and Therapy treatment areas of the department, such as answering phones, translating (if bilingual), disinfecting equipment, ordering supplies as requested by Manager, etc.

  4. Attends department meetings and training, as well as participates in quality improvement programs.

  5. Performs other duties as assigned.


QUALIFICATIONS

Education: High School Diploma or equivalent, Required.

Work Experience: Two years medical scheduling experience, Preferred.

Medical Terminology, Medical Assistant, Patient Care Technician, or equivalent experience is helpful.

Skills Requirements:

Required:

  • Knowledge of established professional scheduling concepts, principles, and practices.

  • Strong organizational skills, and the aptitude to balance and prioritize multiple projects and tasks with varying deadlines.

  • Ability to exercise independent judgment and discretion.

  • Experience working with frequent interruptions and limited supervision.

  • Comfortable speaking in front of large groups.

  • Experience with common computer applications and office duties (i.e., copying, filing, retrieval of medical records).

  • Must be able to read, write and communicate effectively in English.

  • Bilingual in English/Spanish is helpful.

Preferred:

  • Knowledge of healthcare terminology and abbreviations.

  • Experience with Cerner Electronic Medical Record

  • Experience with ICD-10/CPT coding.

Language Requirements: Must be able to read and write and communicate effectively in English.

Bilingual in English/Spanish is helpful.

Physical Demands: Must be able to sit for 6 hours or more and stand/walk for 2 hours or more per day. Must be able to lift up to 25 pounds.

Special Demands: Willing to perform repetitive tasks. Ability to work with others and to perform a variety of assigned duties.
