We are seeking a Regulatory Generalist to join our team! This role supports the goals and work of the Regulatory, Compliance, and Contracts Department under the direction of a Regulatory Supervisor. This individual is responsible for tasks across the RCC Department, including coordinating day to day tasks, documentation, communication with internal and external customers, general document analysis and preparation, analysis and negotiation of customer requests, preparation and submission of regulatory filings, compliance tasks, and is the backup for other functions performed by the Regulatory, Compliance, and Contracts Department. In addition, the Regulatory Generalist may be assigned to perform other duties as needed to support the department goals.

The pay range for this position in Western Washington varies between $46,575.00 - $68,425.00, and for Eastern Washington varies between $42,930.00 - $63,070.00. Washington Dental Service and its affiliates, including Delta Dental of Washington and Arcora Foundation intends to offer the selected candidate a base pay within this range, dependent on job-related, non-discriminatory factors such as experience. Base pay will also be adjusted based on the candidate's geographic location.

Essential Responsibilities include the following: The list of responsibilities listed is not intended to be comprehensive.   • Act as initial point of contact for external and internal customers through management of the Contracts Central and other shared team inbox

  • Intake and initial analysis of appeals, complaints, grievances, exception requests, memos for new, renewal, and change requests for small and negotiated groups, including quality check of memo information, follow-up with requestor, data entry of memo information, and routing as needed

  • Represent the Contracts Department at meetings relevant to the Regulatory Generalist duties, on related workgroups, or as assigned

  • Respond to regulatory agency correspondence as assigned and in accordance with established process

  • Accurately draft and deliver a high volume of plan documents with minimal oversight of a senior staff member

  • Determine acceptability of custom-language requests based on department/regulatory guidelines and escalate as appropriate

  • Proofread and format plan documents following established style guide

  • Prepare and File plan and rate documents with regulatory agencies based on established requirements

  • Respond to regulatory agency correspondence as assigned and in accordance with established process

  • Maintain and update department guidance and procedure documents.

  • Preparing communications, editing and creation of documents, presentations, spreadsheets, and reports.

  • Scheduling and coordinating meetings, appointments, and travel arrangements for team as needed.

  • Handle printing and distribution of Group Plan booklets, including receiving and tracking orders, manage vendor relations, and mitigate costs.

  • Assist with department budgeting, including review/coding of invoices, preparation and review of reports, etc.

  • Proofread and format plan documents as assigned following established style guide.

  • Monitor, collect, file and record final dispositions from regulatory agency websites.

  • Track custom enrollment forms, coordinating review and receipt of custom forms.

  • Possess a high level of confidentiality and understand of HIPAA privacy requirements, with the ability to handle information in a confidential manner.

  • Other duties may be assigned

Primary Duties - All Regulatory Team Members:

  • Maintain a high level of accuracy and timeliness in all work products

  • Utilize good document handling techniques in the receipt, preparation, and processing of all contract documents

  • Maintain and apply knowledge of current regulatory requirements that govern processes and regulations applicable to contract documents and regulatory agency filings

  • Salesforce data entry, including documentation of work status and working from queues

Experience, skills, and education do you need to have to succeed in the position: The requirements listed below are representative of the knowledge, skill, and/or ability required to successfully perform the essential functions of the position.

  • Associate degree (A. A.) or equivalent from two-year college or technical school; or four years office related experience and/or training; or equivalent combination of education and experience. Experience with DDWA systems and processes can also translate into relevant experience.

  • Demonstrated experience in hard copy and electronic document handling, preparation, filing, storage and/or version control

  • Effective written and verbal communications skills. Exhibits well-mannered and professional communication via phone, e-mail, and mail

  • Proven customer service and interpersonal skills, working with a diverse group of internal and external customers

  • Ability to prioritize and work independently under stringent timelines

  • Demonstrate advanced document preparation (formatting, manipulation, verbiage) skills

  • Ability to learn new systems and to master databases and web applications

  • Proven proofreading skills, with a keen attention to detail and accuracy

  • Proficiency with Salesforce, Dental on Demand, and/or general dental or insurance practices preferred
