We are seeking a Registration Representative who will be responsible for day to day greeting and patient registration functions. The duties of this position include greeting patients, registration of non-scheduled patients, activation of pre-registered patients, collection of identified patient financial responsibility, obtaining required signatures from patients or family members and inpatient bed placement activities.

In this position you will:

  • REGISTRATION:

  • Knowledgeable of and able to correctly prepare, process, explain, and distribute all forms applicable to the registration process. Secures all necessary signatures from patients or family members.

  • Knowledgeable of the Durable Power of Attorney process and explains to patients. Provide additional resources to patient and/or family if required.

  • Knowledgeable of the Meditech Admitting and BAR modules. Adequately documents patient accounts.

  • Accurately identify Physician mnemonics.

  • Correctly code insurance information in order to maximize timely hospital reimbursement.

  • Collect patient responsibility as identified by the Patient Access Rep or co-pays identified through Passport system

  • Make appropriate referrals of difficult or complicated accounts to the Supervisor or Financial Counselor.

  • Register patients daily consistent to the daily inpatient/outpatient census and consistent to the standards for registration.

  • Monitor activity in the waiting areas and manage work tasks to as to minimize patient waiting times and reports issues to Supervisor or Lead.

  • Perform receptionist/greeter duties at the reception desk as assigned.

  • Escort patients to service areas as needed.

  • Perform Pre-Registration on patients that are coming in for future appointments and secure authorizations on all patients, as needed

  • BED PLACEMENT:

  • Perform all admission, transfer and discharge functions at the bedboard.

  • Answer the Bedboard Telephones requests in a timely manner and provides appropriate answers or transfers to the correct source.

  • Work with Physicians, Nursing Units, Emergency Room and Nursing Supervisor to appropriately place patients with a minimum of waiting time.

  • Perform census check to assure that actual bed count matches with computer and the bedboard.

  • Monitor admissions for appropriateness as it relates to insurance, diagnosis, level of care, physician privileges, etc.

  • Documentation/Information Management:

  • Demonstrate working knowledge of Meditech ADT and BAR modules and Insurance Verification software. Actively share knowledge and assists in the training of other staff members as assigned.

  • Assure the department/organization's commitment to maintaining the confidentiality of patient information. Information is released consistent with policies and procedures and consistent with the laws concerning consent. Patient information is not discussed in areas where other patients/family members, others employees or the public can hear.

  • Provide appropriate documentation on patient accounts as related to the registration functions of the department.

  • Development:

  • Attend mandatory staff meetings along with other departmental/hospital-wide training related to daily work.

  • Attend classes outside of the work setting to enhance job related skills.

  • Performance Improvement:

  • Has an understanding of the organization's performance improvement methodology. Communicate any services difficulties to supervisor and proposes and develops solutions and remedies. Actively participate in process improvement activities, i.e., WorkOuts as assigned.

  • Budgetary:

  • Aware of and sympathetic to the departmental budgetary constraints and is pro-active in looking for ways to conserve and increase efficiency.

Required qualifications for this position include:

  • Excellent customer service skills

  • Demonstrated computer skills

  • Ability to communicate effectively

  • Working knowledge of medical terminology

Preferred qualifications for this position include:

  • One year experience in a health care setting

Applicants that meet qualifications will receive a text with some additional questions from our Modern Hire system We are seeking a Patient Care Representative II who will be responsible for patient management, the flow of patients through the front office in an efficient and professional manner, the accurate coding of services rendered and over the counter cash management In this position you will: * Answer phones promptly. Screen and direct phone calls appropriately. Timely response to routine inquiries. Take accurate and complete messages (100% of the time) and forward messages promptly and accurately * Schedule patients in a timely and accurate manner * Complete patient check in process. This includes: * Ensure patients sign the Sign in Sheet * Verify/updates or has patient complete new Patient Registration Form * Collect and ensure accurate insurance and demographic information * Copy Insurance card * Initial Patient Registration Form and superbill to confirm completeness of insurance information * Collect patient copayments * Complete patient check out process. This includes: * Maximizing collections by following department policies and procedures * Review the patient superbill for completeness of services rendered, diagnosis, follow up instructions and scheduling next appointment or completing patient recall card * Complete authorizations as directed by the insurance requirements and the physician/provider. Maintain authorization log and notifies patient of receipt of authorization within twenty four hours. Notify physician/provider within 24 hours of any denials * Maintaining an orderly and pleasing work space that ensures the integrity and safety of the practice, patients and personnel * Responsible for accurate coding and batching of services rendered. Prepare paperwork, including accurate completion of Batch Summary Form (95% of the time) and submit within forty eight hours the completed required information to the Central Billing Office * Responsible for maximizing collection of all over the counter payments due at time of Service. This may include copayments, deductibles, uninsured and patient balances. Manage received cash by adhering to the department policy and procedure cash on cash control * Scan and link text/images in Electronic Medical Record * Responsible for timely and accurate verification of patient insurance and demographic information and ensure the communication of this information to the appropriate staff * Responsible for completing worker's compensation reports and status reports * Responsible for reporting status of diagnostic/specialty services ordered by rendering physician at the site in a timely manner, as specified by supervisor * Responsible for maintaining and documenting an appropriate inventory of front office supplies * Documentation/Information Management: Utilize MIS systems according to policy and procedure. Appropriate care and maintenance of MIS system needs to be observed at all times * Development: Keep abreast of department policies and procedures by positively participating in staff meetings and inservices (minimum of 8/year) * Performance Improvement: Participate in CQI and/or quality management activities as identified by supervisor * Budgetary: Responsible to use equipment and supplies efficiently and to make suggestions for cost cutting initiatives to supervisor Required qualifications for this position include: * 2 years experience in medical office * Knowledge of ICD-9 / CPT Coding * Able to use Microsoft Office Suite * Typing / keyboarding skills of 45 WPM About the hospital you will serve: Providence Health & Services is further developing its physician integration strategy.
