Essential Duties

1.Oversees and coordinates administrative, program, and office activities. Establishes, selects, implements, and coordinates office procedures and systems.

Serves as principal source of information to students, staff, and faculty on policies, procedures, programs, and office activities. 2. Oversees, instructs, and coordinates activities of support staff. Oversees the preparation of materials for grants, contracts and budgets.

Monitors expenditures and reconciles financial statements. 3. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy.

Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 4. Determines administrative, facility, and equipment needs for symposia, lectures, seminars, and conferences.

Assembles and arranges for necessary items. Determines sources of data. Compiles, synthesizes and manipulates data.

Summarizes findings and writes reports or portions of reports. 5. Greets visitors. Answers and screens telephone calls.

Assesses nature of business. Responds to requests for information and provides assistance. Screens and responds to mail. 6.

Formats, keyboard, proofread, and edits correspondence, reports, manuscripts, grants, and other material. Assembles attachments and corresponding material. Reviews outgoing material for completeness, dates, and signatures.

Composes substantive correspondence and written material. 7. Coordinates travel arrangements. Schedules and coordinates meetings and appointments.

Orders and maintains inventory of supplies. Takes minutes or dictation. Performs additional functions incidental to office activities.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.

Position Focus:

Reporting to the Director of Online Education & Information Systems in Yale Summer Session, the Registrar serves as the primary administrator of all student records, applications and student files for Yale Summer Session (YSS). The Registrar processes and maintains all student course and enrollment information in Banner.

Application Management: Process all YSS applications, maintain and organize application files, track incomplete applications, prepare for director's review, and notify Director and students of completion or delinquency.

Collaborate with YSS admissions team during application development and testing. Bring problem cases to Director's attention.

Communications: Communicate with all summer students regarding their application or course status, including notification of missing documents, follow-up questions, generation of acceptance letters, and course cancellations.

Communicate with other offices concerning student status with regard to housing, accounts, and enrollment: Yale College Registrar's Office, Summer Housing Office, OISS, Student Financial Services, Financial Aid.

Financial Aid: Work with Student Financial Services to resolve questions or issues on student accounts, authorize refunds on student financial accounts. Place holds on student summer grades as directed by YSS Business Manager.

Immigration Paperwork: Coordinate process through which international summer student immigration paperwork is obtained with OISS.

Coordinate student check-in with OISS once they arrive on campus. Compile student I-20 documents for visa processing and mail I-20s.

Systems Management: Complete Banner data entry for course catalog and configuration of summer term codes and rates.

Process course changes and adjust student financial accounts, e.g. tuition charges and credits in Banner. Oversee complete recording of summer grades. Compile summary data for summer year-end reports, including course history, enrollments, grades, costs, etc. Compile end of summer documentation to Business Manager in support of cost transfers to University Health Services, Telecommunications, Dining Services, School of Art, Chemistry, Physics and any other academic departments as needed.

Other: Provide general administrative support to director as needed, provide backup support to other administrative positions as needed. Interact with other departments in support of Summer Session goals and operations and complete tasks as needed.


Preferred Education, Experience and Skills:

Knowledge of Yale College programs and University accounting procedures, Banner student information system, and Slate admission system. Six years relevant Yale Administrative & Financial experience, or equivalent experience in a higher education environment.
