Primary Purpose:

Responsible for maintaining student academic records at the campus level under minimal supervision. Process student enrollment, transfers, and withdrawals for the campus.

Qualifications:

Education/Certification:

High school diploma or GED

Special Knowledge/Skills:

Ability to maintain accurate and auditable records

Ability to use software to develop or maintain spreadsheets and databases and do word processing

Proficient keyboarding and file maintenance skills

Basic math skills

Strong organizational, communication, and interpersonal skills

Experience:

3 years clerical experience

Major Responsibilities and Duties:

Records, Reports, and Correspondence

  • Maintain student academic records and process requests for information and transcripts. Process new student records, including requesting transcripts and records from other schools.

  • Coordinate grade reporting process, including verification and correction of grades and preparation and distribution of report cards.

  • Prepare and distribute University Scholastic League (UIL) eligibility lists.

  • Monitor academic achievement activities of all students who attend or have attended the school.

  • Certify students for graduation.

  • Maintain academic achievement record information to include grades, grade points, and credits earned.

  • Correspond with sending school to clarify questions regarding records.

  • Assist teachers in locating and interpreting records.

  • Process outgoing records and register new students.

  • Assist administrators with fall and spring registration activities.

  • Plan and implement registration processes for new students.

  • Maintain an accurate roster of class counts.

  • Assist in administration of testing programs.

  • Certify students for graduation.

  • Calculate grade point averages, class rank, and prepare honor rolls.

  • Assist counselors with the enrollment, withdrawals, and transfer of students.

  • Assist campus administration and counselors with the preparation of reports and student data information.

  • Assist with schedule changes due to class leveling, creation of new sections, or elimination of classes.

  • Compile, maintain, and file all reports, records and other documents as required.

  • Compile graduation list for diplomas/determines honor graduates.

  • Compile non-graduate list.

  • Evaluate sending schools' academic achievement records and recommends initial course placement.

  • Send transfer grades to teachers.

  • Check for course placement accuracy once registration has subsided.

  • Assist high school counselors with pre-registration activities for individual grade levels.

  • Assist in development of four-year plans for entering ninth grade and new students.

  • Check for the accuracy of students' course selections.

Other

  • Coordinate the ordering and distribution of all graduate materials, including caps and gowns and diplomas.

  • Maintain confidentiality of information.

  • Follow district safety protocols and emergency procedures.

Tools/Equipment Used: Standard office equipment including personal computer and peripherals

Posture: Prolonged sitting; occasional bending/stooping, pushing/pulling, and twisting

Lifting: Occasional light lifting and carrying (less than 15 pounds)

Environment: May work prolonged or irregular hours

Mental Demands: Work with frequent interruptions; maintain emotional control under stress
