Position Summary

The Registrar Coordinator will provide strategic support for all registration activities across the ACCS Innovation Center, aligning with the academic goals and mission of the ACCS. This role involves statewide support of registration processes, ensuring a student-centered and excellent customer-service oriented approach. The Registrar Coordinator will be responsible for assisting the Registrar Manager in managing academic records, course registration, and scheduling across all 24 community colleges, ensuring the effective use of student information systems and academic catalogs for ACCS Innovation Center courses. This position is located at the ACCS Innovation Center in Decatur, Alabama.

Essential Duties and Responsibilities

PRIMARY DUTIES:

1.Assists all aspects of the Innovation Center Registrar's Office and courses provided to 24 community colleges.

2.Ensure the integrity, accuracy, and security of student academic records and transcript production statewide.

3.Assist in management of policies, processes, and operations related to registration and academic records.

4.Support the review, development, and implementation procedures for records, registration, and scheduling, to increase department efficiency and effectiveness.

5.Utilize data to support curricular planning, institutional improvement, and strategic initiatives.

6.Support the Registrar Manager to enforce the conformity of educational record use, dissemination, privacy, and legal requirements, including Family Educational Rights and Privacy Act (FERPA).

7.Assists the implementation and effective use of systems for student information, degree audit systems, and other relevant technologies.

SECONDARY DUTIES:

1.Supports efforts with other offices and colleges to improve services for students and faculty.

2.Promotes and maintain effective relationships across ACCS institutions.

3.Assists the development and maintenance of registration and learning management systems.

4.Participates in the development and maintenance of procedure manuals and systems within the Registrar's Office for the Innovation Center.

5.Perform other duties as assigned.

TOOLS USED ON JOB:

  • Microsoft Office Suite: Proficient in utilizing Microsoft Word, Excel, PowerPoint, and Outlook for creating documents, managing data, developing presentations, and handling email communication.

  • Office equipment: Well-versed in operating standard office equipment, including printers, scanners, copiers, and fax machines.

  • Video conferencing tools: Knowledgeable in using popular video conferencing platforms like Zoom, Microsoft Teams, and Google Meet for organizing and participating in virtual meetings.

  • Project management software: Familiar with Monday.com, a project management tool, for organizing tasks, tracking progress, and managing deadlines across teams.

Qualifications

QUALIFICATIONS:

REQUIRED:

  • Bachelor's degree from a regionally accredited institution plus relevant experience, OR an Associate's degree PLUS two (2) years of experience.

  • Demonstrated experience in managing, developing, and assessing registrar functions in a college or university setting.

  • Proficiency in using student information systems, such as Banner.

  • Strong technical, analytical, and problem-solving skills.

  • Excellent interpersonal and communication skills, with the ability to work collaboratively across diverse communities.

PREFERRED:

1.Advanced proficiency in data analysis and strategic planning related to academic programs and policies.
