As a Registered Client Service Associate, you will provide administrative and marketing support to one or more Financial Advisors (FAs) and their clients. You will demonstrate high competence in all major areas of responsibility, operate with a high level of independence, and relentlessly help clients and coworkers reach their goals. This individual will possess a Series 7, 66, and DE life and health insurance licenses.


Client service and practice management work --- in-person, electronic and telephone relationships with our clients, corporate processing center, and other professionals.

  • Be the "face" and "go to" person for client service issues and requests.

  • Effectively manage the financial advisor's schedule for clients, professionals and all firm activities.

  • Interface effectively with home office departments and team members.

  • Provide excellent telephone and electronic service to clients and potential clients, including prompt, accurate, and timely attention to detail.

  • Create or maintain processes for exceptional deliverables to clients.

  • Hold self and team accountable for future work promised to client.

  • Identify and help implement workflow and service processes to increase satisfaction, take initiative and deliver best service and work results.

Client Meeting Prep & Follow-Up

  • Review and research what information, proposals and reports are needed for meetings. Be proactive in identifying missing information or requests. Also listen for and update FA's on client or home office information or updates.

  • Prioritize and resolve/complete issues, paperwork and electronic forms & applications after meetings.

  • Make sure clients' accounts and transactions are completed correctly and timely.

  • Make sure we have the best and up-to-date documentation on our clients and their transactions, questions and requests.

  • Be knowledgeable of products and technology and comply with all rules and regulations of the firm, as well as the various regulatory agencies. Anticipate potential issues and or problems and alert respective FA and/or management as necessary.

  • Handle trades and money movement among accounts.

Marketing Assistance

  • Working with the FA's and Marketing Director, assist with seminars, webinars and other client marketing communications.

  • Maintain database with important client milestones.

Required Qualifications

Ideal candidates will:

  • Have at least 3 years' experience in a financial planning, investment, insurance or banking office performing similar work. Knowledge of some product applications, including investments, managed accounts, brokerage, insurance and annuities (at least some basic applications)

  • Have Series 7, 66 DE life/health licenses

  • Be capable of and enjoy working in a fast-paced office with a high volume of work.

  • Demonstrate success working with clients finding out what clients need and taking initiative to increase client satisfaction. Strong relationship-building skills.

  • Have strong, efficient scheduling skills and be able to effectively contact and schedule clients for meetings.

  • Have excellent organizational skills able to deliver consistent results in a timely manner. Able to prioritize work, ask for deadlines and communicate problems/questions clearly with peers and superiors.

  • Have completed at least 2 years' college courses, Associates degree.

  • Demonstrate experience in utilizing CRM software, such as Salesforce or similar programs to maximize results for our clients and our firm.

  • Be familiar with and comfortable working in social media tools.

  • Possess solid mathematical skills for representative computations.

  • Demonstrate superior interpersonal communication skills, both by phone and in person. Have excellent writing and editing skills. A writing sample may be requested.

  • Work well in a team-based environment to help clients reach their goals, and have the ability to influence team members, including coworkers, peers, and leaders at all levels.
