The Regional Facilities Specialist is primarily responsible for the daily operations of the specific retail and corporate buildings in specific territory assigned as well as acting as back up for other locations when peers are out of the office. Responsibilities include regulating the interior climate, coordination with vendors for external and internal facilities work, performing required inspections, coordinating preventive, scheduled and emergency maintenance and oversight of the overall conditions of the properties assigned. This position manages all equipment and property to extend the life of equipment and buildings. This position works independently with little supervision, so the ability to prioritize tasks is imperative and in compliance with established policies and standards, operating procedures, and regulations. The position makes decisions regarding property for the bank and is available for emergencies 24 X 7. The Regional Facilities Specialist manages numerous ticket requests at one time and responds to internal customers, and in some cases tenants, in a timely manner. The Regional Facilities Specialist oversees more than 30 locations that are complex in nature and includes both branches and corporate offices. May act as a back-up to the Facilities Supervisor.
Position Accountabilities
Supervises the upkeep of the properties assigned. Performs work in a timely manner in accordance with any established Service Level Agreements (SLAs) with little or no call backs. Inspects completed work as necessary for quality assurance.
Responsible for daily monitoring of HVAC systems via EMS (area temperature, humidity, equipment performance) and responds to hot/cold calls as well as failed equipment calls.
Routine inspection of parking areas, security equipment, mechanical spaces, dumpster location, landscaping, and roof top areas during visits to buildings assigned at least monthly.
Respond/manage properly and expediently to emergencies- fire drills, power outages, weather related hazards or alerts, liquid spills, plumbing issues or incident clean up. Available for 24 X 7 response.
Develop and maintain relationships with internal and external customers, designated vendors, and trade or industry organizations; resolve issues or may make recommendations on how to resolve issues.
Oversee any outside contractor/vendor performing tasks on property, along with completing vendor performance reviews.
Handle routine inquiries from inside and outside the company on basic facility needs; fielding phone calls/emails for maintenance requests, insuring tickets are submitted for work requested and prioritizing requests.
Maintain documents, contracts, vendor lists and blueprints for AUB owned and leased facilities and manage requests for information on them and distribution of vendor list to appropriate locations. Maintain files for facilities related documents for each location. Use shared folders on server for electronic documents and follow department filing conventions.
Review facility related invoices and facilitate the approval process up to payment within specified deadlines.
Assist with procurement of equipment and materials related to facilities and order miscellaneous maintenance related materials for inventory.
Complete preventive and predictive maintenance or service tickets assigned by Facilities Coordinator.
Assist Facilities Coordinator ensuring correct vendors are assigned in CMMS.
Prepare and monitor capital expenditure and project expense budgets; work within established budget or spending limit.
Work closely with Security, Compliance, others in Corporate Assets and other departments on any immediate security concerns and escalate to the Maintenance and Operations Manager, as necessary. Contribute to project work that takes place in assigned locations. Support opening and closing locations, including proper decommissioning.
Provide technical expertise; provide technical leadership on group projects; review specifications for systems within area of expertise and monitor programs in your assigned area; analyze problems and recommend solutions.
Ensure a safe work environment for teammates and customers; monitor safety trends, data, and accidents; propose and ensure implementation of corrective actions.
Ensure vendors comply with OSHA requirements.
Perform other related facilities duties as assigned which may entail going to other Atlantic Union properties. A bank vehicle will be provided for travel to other locations to transport ladders, equipment, furniture, and tools etc.
May perform other duties as assigned/identified at lower level(s)
Complete all assigned training, as required.
Organizational Relationship
This position reports to the Maintenance and Operations Manager.
Position Qualifications
Education & Experience
High school diploma or GED required
Minimum of 10 years' experience as a Building Supervisor or Assistant Supervisor in a commercial facility with modern amenities required
Technical training or completion of certification program preferred
Valid Driver's license required
Knowledge & Skills
Critical thinking skills including the ability consider multiple alternatives to determine best outcome.
Overall knowledge of proper installation techniques of all trades supervised - mechanical, electrical, fire alarm, plumbing, roofing, etc. Ability to perform fire alarm, HVAC or other technical work independently.
Familiarity with CMMS.
Working knowledge of building construction, maintenance and repair principles, applications and related regulations and facilities and contract management.
Organization and prioritization skills; able to prioritize daily objectives and to react to varying demands at a moment's notice.
Ability to read and understand contracts and negotiate pricing and services; able to manage vendors effectively from a distance.
Strong organizational and communication skills.
Professional demeanor, comfortable working in a corporate environment. Able to establish effective relationships with branch and office teammates.
Proficiency in Microsoft office (word processing, spreadsheets and databases) and working knowledge of general office and AV equipment.
First-aid/CPR and defibrillator certification preferred.
Demonstrated ability to lift up to 75 lbs.
Must be able to travel often between bank properties in bank provided vehicle.
Salary offered will be based on several factors including but not limited to education, work experience, certifications, etc. This position is also eligible to participate in either an applicable incentive compensation plan for the position or a discretionary profit sharing bonus program.
