JOB SUMMARY The Regional Coding Operations Manager (RCOM) is responsible for assisting in the development and evolution of the overall strategy for PSG Coding Operations. The RCOM is responsible for oversight of all PSG coding operational processes and workflow, including but not limited to, incomplete record management, practice acquisitions, provider clinical documentation improvement, practice coding processes, and division relationship management as applicable. The RCOM interprets policies and procedures, recommends changes as appropriate, and provides relevant feedback. The RCOM assists the Regional Coding Operations Director with the oversight and implementation of Coding Operations operational planning, service commitment, budgets, workflow processes and internal controls. As the RCOM, this person serves as a key promoter of Coding Operations and is responsible for setting the tone of Coding Operations as a service organization, continuously seeking to understand, meet, and exceed customer expectations and needs.

Implementation Duties (included but not limited to):

  • Assists the Director Coding Operations Division Support in reviewing progress against business case expectations and operational metrics to ensure that financial and operational risks are properly managed.

  • Works with the division operations team and CCU team on various implementation/acquisition activities and projects.

  • Oversees preacquisition practice activities, including but not limited to practice profile completion, practice coding operational assessments, action planning, and staff education.

  • Manages and/or assists the CCU team premigration/implementation activities, including but not limited to, FTE base lining and management, forms management, charge capture interface development, operational assessment, action planning, productivity monitoring, staff education, and any coding process clean-up.

  • Understands practice coding integration efforts and participates in implementation activities to ensure integrity of the coding process.

  • Assists the CCU team with planning, preparation and integration of practice coding functions/processes into the CCU.

  • Leads key communication efforts with practice staff, providers, and Division Leadership.

  • Responsible for preparation and maintenance of HCA and PSG policy and procedures in compliance with requirements and standards.

  • Ensures CCU operational productivity standards are maintained or exceeded during transition.

  • Provides oversight, guidance, training, and support to practice managers/staff who serve the coding process role to ensure effective collaboration with key practice and division personnel, as applicable.

  • Provides guidance to Division Coding Managers and Division Coding Consultants

Operational Duties Include But Are Not Limited To:

  • Manages, coaches and provides overall direction and guidance to the practice management and Division Leadership teams to ensure accurate and efficient coding processes.

  • Works with the PSG Coding Operations Central Coding Unit (CCU) to identify and resolve internal and external issues.

  • Ensures each practice team and division team is actively working their applicable coding work queues.

  • Works collaboratively with each practice and division leadership team to ensure customer satisfaction and efficient coding work processes/handoffs.

  • Assists the CCU team in establishing and maintaining effective working relationships with providers, practice managers, and division leadership to ensure optimal coding performance for the practices.

  • Assists the CCU team in working collaboratively with practice management and leadership teams to comply with workflow processes, (e.g., demographics, signing documentation) and is responsible for facilitation and execution of physician notification processes regarding medical record documentation deficiency and delinquency.

  • Assists the coding process in serving as a liaison between the CCU team and practice management, including the providers and division leadership, and builds and maintains strategic working relationships with the practice and division leadership (working through specific issues, committee meetings, monthly updates, etc.).

  • Proactively manages, including corresponding communications and escalation paths, significant issues in practice operations and CCU team (e.g., coding backlogs, practice backlogs quality issues), status of projects, barriers and successes.

  • On an ad hoc basis, may provide interim management for division coding operations.

  • May serve, or serve in conjunction with the Coding Operations Leaders, on PSG committees.

  • Coaches and helps develop team members; disciplines and counsels staff as necessary.

  • Monitors CCU operational performance according to productivity and quality standards as documented in job descriptions and Service Commitment Agreements.

  • Assists Coding Operations staff in companywide initiatives/projects such as the development of operational models and education programs.

  • Assumes a lead role for innovation, knowledge sharing and leading best practice identification within Coding Operations and among peer group.

  • Assists in the development and management of strategy, specific goals, objectives, incentive metrics, budgets and performance standards for Coding Operations.

  • Manages the Division Support budgets, including monthly reporting, staffing, planning and forecasting.

  • Identifies and implements process improvements to lower costs and improveservice to practice and various PSG stakeholders/customers.

  • Overseestraining and education for practice management and practice/division staff.

  • Responsible for overseeing performance review process for all direct and indirect reports.

  • Contributes to the development of strategic direction for Coding Operations.

  • Practices and adheres to the "Code of Conduct" philosophy and "Missionand Value Statement".

  • Other duties as assigned.

EDUCATION

EXPERIENCE

  • Minimum 7 years professional fee coding and revenue cycle operations experience strongly preferred.

  • Minimum 5 years health care management/leadership experience required.

  • Experience leading large organizations preferred.

  • Consulting or proven work experience in areas of process reengineering and project management strongly preferred.

CERTIFICATE/LICENSE

  • Must be a Certified Coding Specialist (CCS), Certified Coding Specialist
  • Physician (CCS-P), RHIT (Registered Health Information Technician), RHIA (Registered Health Information Administrator) through AHIMA (American Health Information Management Association) or AAPC's (American Academy of Professional Coders) Certified Professional Coder (CPC) credential or Certified Professional Coder

PSG operates more than 750 practices, Urgent Care Facilities, and partners with HCA's 165 hospitals to structure employed provider programs, professional service agreements, and joint ventures that offer the communities we serve high quality, cost effective care. We manage a collection of highly motivated and innovative leaders who are committed to excellence in every aspect of their career. Operating under HCA's Physician Services Group (PSG), Ambulatory EHR supports approximately 800 practices and 3,600 providers in seven regions throughout the nation. The teams work together to implement, optimize and provide continuous support to providers using the HCA-hosted version of the eClinicalWorks Electronic Health Record and other non-standard EHR systems. GENERAL SUMMARY OF DUTIES: The EHR Analyst is actively engaged in end user interaction, workflow analysis, design, build, training and on-site support to implement HCA Physician Services Group's (PSG) eClinicalWorks Electronic Health Record functionality and HCA business process and compliance standards. Further responsibility may include partnering directly with physician practices to optimize their use of PSG's EHR platform to ensure the ongoing success of their practice. The Analyst consistently executes the PSG implementation and optimization approach, including risk and issue identification, mitigation and resolution, travel to each site to meet with end users, and act as a primary contact for system users. DUTIES INCLUDE BUT NOT LIMITED TO: * Assists the EHR Manager, EHR Director or Division EHR Manager in conducting the first introductory meeting with practice staff and physicians to introduce the project and educate the practice about the implementation process and expectations. * Travel to client sites and train end-users (providers, clinical, and billing staff) on eClinicalWorks software. * Executes implementation tasks for assigned practices following HCA standards. * Assists with Optimization project work as needed and when directed by EHR Manager and EHR Director. * Uses tools, reports and resources to identify and prioritize providers to be implemented or optimized through the coordination of EHR Manager and EHR Director; provides control and status updates of implementation or optimization tasks according to project schedule. * Works collaboratively with IT&S to identify critical issues with hardware and other equipment in practices when needed. * Works collaboratively with Division EHR Manager and Analyst(s) to ensure an efficient and smooth implementation is accomplished, utilizing all resources available during the implementation. * Conducts practice-specific workflow analysis and design, documenting current state workflows and assisting the practice in making future state workflow decisions based on the successful use of the PPMS or EHR application. * Works collaboratively with Clinical Application Manager while optimizing and implementing for critical workflow assessments and workflow application. * Stays current and informed on Government Program policies, compliance and regulatory guidelines, including Meaningful Use and Physician Quality Reporting System (PQRS). * Functions as primary liaison between the practice, the interface team, and vendor on all interface calls. * When applicable, functions as primary liaison between EHR Manager, market leadership including Area and Market Managers, Division Operations Officer, Division Vice President, CIO, Medical Director and others as appropriate in the division. * Drives resolution of end user issues; works with all parties to prioritize issues and offer solutions. * Serves as a Subject Matter Expert (SME) of eClinicalWorks and responds to inquiries from PSG providers and staff to ensure efficient and timely actions are taken. * Works with physicians, business staff and other clients to understand and research customization requests. * Provides on-site go-live support * Coordinates the transition of the practice to the Division EHR Analyst support model following agreed upon post go-live support period to ensure a smooth transition. * Establishes and monitors key success criteria and helps to collect return-on-investment metrics. * Assists with ongoing development of coaching programs for new providers, system changes, project implementation, upgrades, recommendations and support; captures best practices and shares with PSG providers. * Assists providers with optimizing their dictation activity (if applicable) through the creation of favorites, auto text, macros, commands and other efficiency tools. * Conducts regularly scheduled Optimization visits to the practice location following approximately 60 days of post go-live activity to ensure the practice team is using the application to its fullest potential. * Adheres to HCA on-boarding activities, including train-the-trainer, competency assessments, and the HCA Code of Conduct. * Attends regularly scheduled meetings with EHR team including teleconference, WebEx, and on-site group meetings * Stays abreast of system changes and updates as well as organizational policies, procedures and workflows related to the eClinicalWorks software. * Completes all assigned learning activities (ex: HealthStream, Lunch & Learn Knowledge Checks) according to the EHR team guidelines. JOB REQUIREMENTS : The position requires the candidate to reside in the Nashville area, and be able to travel nationally up to 90% on a weekly basis. EDUCATION: Bachelor's degree in business, computer science, health care or related field preferred. EXPERIENCE: Minimum of 3-5 years' experience in information systems training, implementation and/or project management. Related experience must include clinical implementation experience with additional organizational or project leadership experience.
