JOB SUMMARY:

The purpose of this position Is to perform administrative duties for the Program Manager and Assistant Program Manager for RSA Region II. Review and/or call for correct information on a day-to-day basis regarding personnel paperwork (I.e., Requisitions, Hiring Lists, Hiring process, Resignations, Evaluations, Family Medical Leave Act (FMLA), and the Donated Annual Leave (DAL), etc.). Will occasionally complete personnel paperwork for the field offices. This position assists the Vocational Rehabilitation field staff in all areas of personnel, In addition to answering questions and performing duties related to payroll, leave time, travel, office requisitions for equipment/supplies. Answer calls from clients and vendors and determines who can assist them with their questions.

JOB DUTIES:

  • Act as a Liaison between Vocational Rehabilitation field offices and RSA Central Office.

  • Maintain personnel files for Program Manager for 80+ employees and maintain position control for Region 2.

  • Provide support for staff and supervisors in regards to all personnel issues.

  • Maintain strict confidentiality with all aspects of these programs.

  • Monitor vacancies and maintain organizational charts.

  • Authorized to input and approve time cards for staff when requested.

  • Answer calls from clients and vendors and determines who can assist them with their questions.

KNOWLEDGE, SKILLS AND ABILITIES (KSAs):

  • Knowledge of Rehabilitation Services Administration (RSA) program, policies, procedures, principles and practices of program administration and management.

  • Knowledge of full range of complex administrative functions of a responsible and confidential nature.

  • Problem solving and decision making skills.

  • Skilled in oral and written communication.

  • Must be skilled in MS Word, MS Excel and MS Outlook.

  • Ability to communicate and have a good working relationship with individuals being served through Vocational Rehabilitation, co-workers, vendors and employers.

  • Establish and maintain effective working relationships.

SELECTIVE PREFERENCE(S):

Two-Five years administrative experience; or two years of working in a Human Resources environment one or more of the following areas: employment, benefits, or general human resources experience.

A Bachelor's degree in a field appropriate to the assignment from an accredited college or university.

PRE-EMPLOYMENT REQUIREMENTS:

  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify), applicable to all newly hired state employees

  • Successfully pass background and reference checks; employment is contingent upon completion of the above mentioned process and the agency's ability to reasonably accommodate any restrictions

The liaison will also participate in annual conferences, arrange community events and build brand recognition of Cornerstone Behavioral Health. This liaison will perform in-person admission evaluations, on-call, during business hours, in addition to adhering to a territory specific call plan. The duties include: * Conduct sales calls * Adhere to a weekly call plan * Conduct patient assessments to identify patient for potential admission. * Actively involved in communicating, educating, and territory planning. * Meet budgeted census goals for facility. * Develop relationships and call on referral sources on a regular cadence. * Complete and maintain all required reports. * Knowledge of state and federal regulations that pertain to admissions and marketing. * Perform other duties as assigned. Minimum Qualifications: * Action oriented individual with ability to: identify opportunity; adapt to change; work independently; and prioritizes tasks / responsibilities. * Strong customer service skills. * Effective verbal and written communication skills, and strong presentation skills with ability to adjust accordingly to a variety of audiences. * Strategic problem solving with ability to adapt to change and/or uncertainty. * Intellectual ability to handle concepts and complexity comfortably. * Knowledge of regulatory standards, compliance requirements and hospital policies and procedures. * Ability to work remote with modern technology; IPad, laptop, smartphone * Working knowledge of technology such as word processing, graphics, databases, spreadsheets, etc. * Demonstrated ability to manage territory and accounts.
