Job Description:

The Recruitment and Admissions Coordinator position involves developing and implementing programs and initiatives for student outreach, recruitment, and admissions for the University at Albany School of Public Health, with a focus on both undergraduate and graduate level degree programs. The coordinator assists the Assistant Dean for Admissions and Student Affairs with development and implementation of undergraduate recruitment initiatives; graduate recruitment initiatives and coordination of the graduate admissions process; supporting graduate student events; and providing programmatic support for student affairs activities.

Primary Responsibilities:

  • Develop and implement on-campus, off-campus, and electronic recruitment plan, including organizing, scheduling, and attending graduate program recruitment events; coordinating and offering in person and virtual information sessions and open houses; and developing recruitment and outreach materials.

  • Coordinate and offer topic-based information sessions (e.g., specific areas of concentration, degrees, funding), as well as targeted presentations to pre-health and other groups across NYS.

  • Serve as primary point of contact for prospective students about academic programs and application requirements and process; respond to queries from prospective students by email, phone and in person; and engage in direct outreach to prospective graduate students from all degree programs.

  • Engage in recruitment initiatives for undergraduate students; partner with undergraduate admissions to increase the visibility of the public health major to prospective students and engage in direct outreach to accepted undergraduate students.

  • Support departments in the recruitment of MS, PhD and DrPH students and collaboratively develop and offer MS, PhD, and PhD program specific information sessions.

  • Organize and handle logistics for graduate admissions events, including Accepted Students Days and Orientation.

  • Participate in university-wide prospective student events and accepted students' days for undergraduate students.

  • Centralize and manage the efficient processing and review of 500+ applications for all SPH graduate degree programs in WebAdmit and Slate, and coordinate with departments to ensure applications are reviewed in a timely manner.

  • Coordinate scheduling of admissions committee meetings and process final decisions in Slate.

  • Correspond with non-degree students regarding admission and registration.

  • Manage the WebAdmit application system, including review of designations and set-up of system for each new application cycle.

  • Monitor enrollment of graduate students from application to enrollment and provide monthly enrollment reports to Assistant Dean for Admissions and Student Affairs.

  • Oversee the School's admissions and accepted students web and SharePoint pages to ensure information is current and engaging for prospective and accepted students.

  • Manage event module in Slate, including creation and maintenance of event and inquiry forms with appropriate communication streams.

  • Coordinate the development and implementation of a student ambassador program to assist with recruitment activities.

  • Assist with logistics and implementation of commencement activities in May.

  • Assist with preparation of annual student and alumni data reports, as needed.

  • Perform other admissions, recruitment and student affairs related tasks as assigned by the Assistant Dean for Admissions and Student Affairs.

  • Some travel and evenings/weekends required.

Requirements:

Minimum Qualifications:

  • Bachelor's degree from a college or university accredited by a US Department of Education or internationally recognized accrediting organization.

  • 1-3 years of experience in admissions, sales, customer service, advising, counseling or related field.

  • Experience with MS Word, Excel, Outlook, PPT; and comfort with learning new software and programs.

  • Experience must include demonstration of attention to detail, strong written/oral communication, and interpersonal skills, as well as the ability to work individually and in a team setting.

  • Excellent organizational skills, ability to handle multiple tasks simultaneously, prioritize, and complete assignments accurately and in a timely fashion.

  • Demonstrated experience presenting information to the public.

  • Applicants must demonstrate an ability to develop inclusive and equitable relationships within our diverse campus community.

  • Applicants must demonstrate an ability to support diversity, equity, access, inclusion and belonging relative to their role.

  • Ability to travel and work evenings/weekends.

Preferred Qualifications:

  • Two years of experience working in higher education

  • Two years of experience working in higher education admissions

  • Experience with customer relationship marketing (CRM) systems

  • Experience with social media platforms and electronic communications

  • Documented knowledge of public health as a discipline

Professional Rank and Salary Range: Senior Staff Assistant, SL3; $53,500.
