Capstone Corporation is currently seeking a Recruiting Coordinator/HR Assistant to work at Headquarters located in Alexandria, VA. Capstone Corporation is a growing company with two office locations and over 200 employees. This position provides multiple role support to the recruiting and human resources areas of the company and is an integral part of the Support Services team success.


Recruiting Coordinator duties:

  • Manages posting jobs to Capstone's external job boards.

  • Assists recruiting team with light sourcing.

  • Assists recruiting team with phone screens.

  • Prepares all offer letters and sends with the appropriate new hire packets.

  • Tracks the receipt of the initial new hire paperwork.

  • Initiates and tracks all background checks and drug screenings to completion.

  • Verifies candidate certifications.

  • Updates Applicant Tracking System (ATS) with candidate and employee data.

  • Sends new hire alerts.

  • Closes all filled positions in ATS.

  • Prepares reports through ATS for weekly meetings, recruiting statistics, etc.

  • Referral Tracking

  • Maintains and updates the ATS.

  • Maintains employee resumes.

  • Assists with updating Recruiting Manual.

  • Prepares and maintains new hire packets and supplies.

HR Assistant duties:

  • Tracks/logs new hire paperwork.

  • Sends out Capstone apparel.

  • Maintains/tracks I-9 forms.

  • Creates new hires in Human Resources Information System (HRIS).

  • Prepares exit paperwork.

  • Sends new hire/termination alerts.

  • Creates and maintains all employee files, vendor files, and general HR files.

  • Completes employment verifications and coordinates background investigators.

  • Maintains HR tracking tools.

Office Services

  • Performs as the Capstone email/intranet account administrator.

  • Maintains the Global Address List.

  • Coordinates IT Support.

  • Opens and distributes mail on a daily basis. Processes incoming and outgoing packages.

  • Coordinates office luncheons (monthly birthdays, etc.)

  • Distributes parking tags, validations stickers.

  • Maintains appearance of the general office environment.

  • Coordinates all facilities maintenance with the Building Engineer.

  • Coordinates equipment maintenance with vendors.

  • Orders office supplies.

  • Screens general telephone calls.

  • Receives and greets all visitors.

Basic Qualifications

Education and years of experience:

  • High school diploma.

  • Three (3) years of experience that includes administrative and recruiting duties.

Minimum experience:

  • Experience working with ATS and HRIS systems.

  • Must be detail oriented and exercise confidentiality and discretion at all times.

  • Must be able to multi-task and apply knowledge and skills to a wide-range of tasks.

  • Flexibility to fill in gaps as needed and participate in ad-hoc projects.

  • Candidate must possess excellent written and verbal communications skills and the ability to interact effectively with people at all levels, internally and externally.

  • Ability to build strong supportive relationships with each recruiter.

  • Ability to work overtime.

  • Must be proficient in Microsoft Office to include Word, Excel, PowerPoint and Outlook.

Preferred Qualifications

  • Bachelor's degree.

  • Experience in government service contracting environment.

  • iCIMS experience.

  • iSolved experience.
