Recruiting Coordinator

The Recruiting Coordinator will work closely with the recruiters to support all administrative processes relevant to technical and non-technical recruiting. In this role you will be responsible for ensuring a seamless interview process for all positions you support. In this position, you will be responsible for ensuring the administrative recruiting methodology and processes are consistent and candidates have a positive experience.

What You'll Do

  • Serves as point of contact for hiring managers and interviewers regarding candidate interview schedules and rescheduling of interviews

  • Schedules candidate interviews and coordinates with recruiters and hiring managers

  • Work closely with executive administrator team on coordinating and scheduling executive level candidates for confidential searches

  • Create interview specific documents, collect and compile candidate interview feedback

  • Provides information about the company and job opportunities to potential applicants

  • Maintains appropriate and timely tracking of candidates as they move through the recruiting process within the Applicant Tracking System (Greenhouse)

  • Coordinates all candidate travel (flight, hotel, rental car, etc.) and reimbursement, if necessary

  • Provide continual updates to recruiting team

  • Supports other recruiting related administrative tasks as necessary

What We're Looking For

  • Minimum of 2 year of professional work experience required

  • Previous experience working in a business support related role is preferred

  • Ability to provide exceptional, consistent customer service to internal and external clients

  • Self-directed problem solver with a desire to contribute to the organization's reputation and success.

  • Solid computer skills, including experience with Google Docs

  • Experience working with an Applicant Tracking and Talent Management System is a plus

  • Must have very strong attention to detail

  • Ability to manage multiple tasks concurrently, professionally, efficiently and follow through on multiple work initiatives at one time

  • Strong verbal and written communication skills

  • BS/BA desired

This position works with the HR team to enhance Earthjustice's talent pool with a major focus on recruitment and applicant screening for positions located in 14+ locations across the United States. The Recruiting Coordinator works under the direction of the Recruitment Manager to manage Earthjustice's candidate experience for both internal and external stakeholders. This role will be the lead for candidate evaluation, applicant screening and candidate advancement with a key goal of providing high quality customer service for hiring managers and teams for both attorney and non-attorney positions organization wide. The Recruiting Coordinator owns inbound applications and partners with hiring managers across the nation to pre-screen and advance candidate applications. Ideal candidates will contribute broadly across the recruiting team by helping to build process, institute best practices, and increase our efficiency. This position is full time and located in either San Francisco, CA or Washington, DC. Responsibilities Recruitment/Candidate Screening (70%) * Ensure all candidates have a world class experience from start to finish. * Provide high quality customer service for hiring managers and hiring teams for both attorney and non-attorney positions organization wide. * Partner with hiring managers to understand key hiring goals and determine level of HR recruitment services for positions and assess candidates' qualifications accordingly. * Provide high level HR recruitment services for hiring managers include resume screening and conducting 20 to 30 phone screens per week. Review and screen resumes using the Jobvite Applicant Tracking System and Jobvite Engage. * Support hiring managers to manage candidate flow through our Applicant Tracking System. * all inbound job applications and expand talent pipeline with external sourcing when appropriate. * Identify prospects through strong research via candidate sourcing platforms and by targeted networking. * Schedule a high volume of phone, onsite, and video interviews with hiring teams, executives, and candidates. * Provide best practices in hiring training and assist in fielding questions from hiring managers regarding recruitment and onboarding. * Partner with recruiters and hiring managers to advise on sourcing strategies. * Work with external search firms and temporary agencies to keep informed of key searches and assist with tracking searches and temporary hires. * Support Recruiting Manager and Legal Recruiter with recruitment projects as needed. * Work closely with our Operations Recruiting team to maintain a consistent pipeline of talent. * Use the applicant tracking system, Jobvite, to add new job requisitions, monitor positions as well as review and edit candidate applications. * Maintain and update the Jobvite system as needed. * Obtain timely feedback from our interviewers and communicate next steps to candidates (as needed). * Coordinate background check process for finalists and review background checks to ensure consistency (serve as backup to HR Assistant). * Coordinate conflicts check process with Litigation Operations team and coordinate conflicts checks with new hires (serve as backup to HR Assistant). * Create and send offer letters via Docusign and generate promotion letters for internal staff. * Update and edit job descriptions and save them in the HR file system. * Partner with various teams to ensure candidates have a smooth new hire transition. * Assist with onboarding of regular staff, summer law clerks, interns, and fellows in the Sapling onboarding system. * Provide support in updating job descriptions for all staff positions as needed. * Serve as backup for all recruitment related e-mails and respond to applicants on a daily basis using the Earthjustice jobs e-mail inbox. * Demonstrate an awareness and sensitivity to the needs and concerns of individuals from diverse cultures, backgrounds and orientations. * Contribute to the creation of a diverse, equitable, and inclusive work culture that encourages and celebrates differences. HR General/Other (20%) * Update job knowledge by participating in educational opportunities; reading professional publications; maintaining personal networks; participating in professional organizations and conferences. * Provide administrative support to HR team as needed. * Build relationships with internal and external partners including candidates, Talent Acquisition management, senior leaders, hiring managers, vendors, and other key partners. * Develop recommendations for improvement and drive new initiatives. * Communicate confidently to build trust; you will bring a strong perspective that inspires change and motivates to develop simple solutions to complex problems. * Backup to sending recruitment kits to regional offices for career fairs and events. Diversity Equity & Inclusion (5%) * Partner with VP of Human Resources, VP of Diversity and Inclusion, and work group members to support and advance diversity and inclusion goals and actions, and celebrate people of all backgrounds with an open and inclusive work culture. * Model inclusive behaviors and multicultural competency in interactions with all staff. * Screen candidates and build pipelines of diverse candidates in terms of race, ethnicity, and gender for positions nationwide. * Provide EEOC data reports to hiring managers in the hiring process to ensure diverse pipelines of candidates in terms of race/ethnicity and gender. Other (5%) * Participate on committees as appropriate. * Manage other projects as assigned. * Participate in interviews. * Handle confidential information. Qualifications * At least 1-3 years of experience in Human Resources and/or recruitment related experience, with a desire to learn and grow within the recruitment function. * Experience in law firm or legal setting a plus but not required. * Bachelor's degree or equivalent years of experience desired. * Experience in non-profit Human Resource department is a plus but not required. * Exceptional communication, organizational, and problem solving skills. * Amazing interpersonal and consultative skills. * Outlook email experience is preferred. * Has high level of initiative and is self-driven. * Ability to anticipate the needs and next steps in a workflow, and Ability to work independently and with minimal supervision. * Ability to prioritize tasks and manage time effectively. * Ability to solve complex problems, troubleshoot issues, and bring them to closure in an ever changing environment. * Hands-on experience with Applicant Tracking Systems (ATS) is desired. * Ability to maintain strong relationships with recruiters, hiring managers, and candidates. * Innovative ideas—constantly looking for ways to improve our existing processes. * Sensitivity towards the candidate experience & willingness to go above and beyond. * Top-notch customer service skills. * Impeccable attention to detail, follow through, and the ability to manage many parallel processes at the same time. * Stellar written, verbal, and interpersonal communication skills. * Self-motivated with solid follow up and decision making skills. * Experience maintaining professionalism amidst difficult teams, challenging circumstances, and last-minute changes to team and candidate schedules. * Experience reporting and working with hiring and applicant data, * Aptitude for working with numbers. * Experience using MS product suite: MS Word, Excel, PowerPoint.
