Duties

We're looking for a Recruiting Specialist to partner with our recruiters and hiring teams to attract and deliver top talent. Our dynamic Talent Acquisition team works on varied positions which often involve one-of-a-kind technology and science areas, and the Recruiting Coordinator is integral to our overall success. The Recruiting Specialist will facilitate a streamlined process from posting to onboarding and will act as a focal point for all recruiting interactions to achieve an efficient, enjoyable, and high-touch candidate experience.

The core responsibilities of the Recruiting Coordinator include:

  • Advertise open positions to appropriate internal and external venues

  • Manage candidate interviews and coordination of onsite visits, including scheduling, securing conference rooms, and arranging travel.

  • Work with recruiters and hiring managers to ensure a seamless interview experience for all candidates.

  • Support strategic workforce planning by assisting recruiters with researching sourcing mechanisms and venues such as university contacts/programs and professional associations

  • Follow-up with candidates, recruiters and other internal stakeholders as necessary to ensure progress and problem resolution

Skills

  • Highly proficient in use of Office 365, MS Outlook & MS Office Suite, particularly calendaring and spreadsheets;

  • Ability to understand and adapt to rapidly-changing priorities and environments, and must demonstrate maturity, flexibility, and patience in all circumstances

  • Must be incredibly detail-oriented with effective time management, organizational and problem-solving skills

  • Ability to compose and deliver succinct and effective written and oral communications

  • Ability to interact effectively with HR team members, internal staff, candidates, and vendors with professionalism, tact, and diplomacy

  • Strong interpersonal and relationship-building skills, with a customer-service orientation in all dealings

  • Must demonstrate integrity in handling confidential and sensitive information

  • Proficient at handling high volumes of work and multi-tasking

  • Experience in optimizing processes and increasing efficiency

  • Prior experience with Applicant Tracking Systems is preferred

Education

Bachelor's degree (or equivalent experience) strongly preferred with minimum 3 years of recruiting coordinator experience and/or 3-5 years of high volume administrative experience

This position will serve as a fire inspector on a wide range of fire prevention initiatives and hazard prevention activities; performs routine plan checks and performs basic fire inspections in residential, commercial, school and industrial occupancies; performs vegetation hazard inspections; on occasion, prepares fire prevention public information; completes reports, issues notices, prepares correspondence; assist with coordination of emergency management initiatives and hazard prevention activities; assist with public safety educational outreach and programs; and performs related work as required. Essential Duties and Responsibilities: * Support and coordinate San Rafael CERT and San Rafael-hosted CERT trainings. * Support emergency alerting, including educational events and database management. * Support, coordinate, and conduct disaster preparedness and mitigation public outreach and training events. * Support and coordinate Neighborhood Response Groups (NRGs). * Support the development and implementation of Emergency Operation Plans and continuity of operation plans. * Support the implementation of the Wildfire Action Plan. * Interprets and enforces provisions of fire prevention codes and fire safety laws and standards, and City and State ordinances. * Performs routine safety inspections of new and existing buildings, structures and installations requiring fire clearances; identifies fire hazards; recommends corrective actions; performs follow-up inspections to see that corrective actions have been taken. * Performs WUI and other vegetation hazard inspections. * Performs periodic and special events inspections to ensure compliance with applicable codes, and issues associated permits and notices. * Investigates public and referred public agency complaints which involve Fire Department attention and resolution of issues. * Researches, prepares, and issues fire and life safety notices, permits, and correction letters that outline compliance issues and deficiencies. * Works with other City staff pertaining to fire prevention related issues pertaining to projects and other related activities. * Assists the public, representatives of other public agencies, consultants, and other employees with inquiries and the review of projects or code compliance issues. * Prepares reports related to fire prevention activities. * Completes data input and analysis of a variety of information related to fire prevention and occupancies. * Reviews, evaluates, processes, and maintains a variety of files related to fire prevention activities. * Assist in the pursuance of legal remedies for non-compliance, including issuance of pre-citation notices, preparing legal complaints, and possibly testifying in court. * Attends on occasion a variety of continuing education classes, seminars, and/or meetings; remain current on applicable codes, regulations, policies, and procedures.
