Position: Recruiter

Reports to: Talent Acquisition and Training & Development Manager

Position Status: Full-Time, Exempt

Location: Wauwatosa Office

Start Date: Immediately

SUMMARY: Under the direction of Talent Acquisition Manager and Recruitment Consultant, the Recruiter assists with the administration of the talent acquisition process and procedures and supports the overall development of the Talent Acquisition Department through the assistance of other special projects and assignments.


  • Review candidate pipeline movement to ensure that applications are reviewed in a timely fashion

  • Monitor candidates within the interview stage to determine if they have responded to the scheduling link within 2 business days of being sent

  • Fulfill all phone interview requests from the Applicant Tracking System (ATS) system within 1 business day of receipt

  • Schedule phone interviews successfully within 2 business days of ATS scheduling link being sent

  • Conduct phone interviews within a 30-minute time frame

  • Provide copious notes on interview responses and submit scorecard within 15 minutes after the completed phone interview

  • Correspond with hiring manager via the Team Notes tagging system in the ATS immediately after the completion of a scorecard

  • Fulfill in-person interview requests from the ATS system within 2 business days of receipt from the hiring manager

  • Accurately schedule in-person interviews by reviewing availability of the hiring manager and/or committee as directed

  • Use the system texting tool as needed for unresponsive candidates at any stage in the interview or offer process, and for standard candidate follow-ups

  • Disposition candidates by using proper email templates to ensure that candidates have heard back regarding the status of their application as directed by the hiring manager or Talent Acquisition Manager

  • Prior to closing a requisition, review all active applications to properly disposition or to move to another appropriate stage

  • Review candidate records prior to taking action on phone interview requests to determine if there are duplicate records and if there are any previous team notes a hiring manager should be aware of

  • Provide ongoing correspondence for any candidate actions using the team note area in the ATS

  • Work closely with the HR Generalist or Manager to assist in pre-employment screening fulfillment (as needed) and provide status updates to hiring managers as needed

  • Notify hiring managers after pre-employment screening is complete to identify if a candidate should be moved to the offer stage

  • Notify Talent Acquisition Manager and Recruitment Consultant when a candidate is ready for offer

  • Check-in weekly with upcoming new hires to answer any questions regarding their first day

  • Review job requisitions daily to assess applicant volume and determine if additional measures need to be taken to increase talent pool

  • For harder to fill positions, post external job postings on accounts with and ZipRecruiter

  • Monitor external job boards daily, conduct first review, reject poor quality candidates and upload high-quality applicants to the ATS under the proper requisition

  • Track aging requisitions within the ATS and externally and repost those that are older than 25 days

  • Move all candidates that are in active stages to the new requisitions so that hiring managers can continue to see applications

  • Source candidates for hard-to-fill positions that have not collected a sufficient candidate pool within 5 business days of being posted

  • Open requisitions within ATS as directed by the Recruitment Consultant or Manager

  • Consult with Recruitment Consultant for any assistance or direction needed at any given point within the talent acquisition process

  • Other duties as assigned


  • Knowledge of principles and procedures for recruitment, selection, general HR practices & understanding of Applicant Tracking Systems.

  • Sense of urgency with autonomous skills toward spontaneous and quick problem resolution.

  • Strong communication skills, written and verbal, appropriate to target audiences across multiple functional areas, categories and levels.

  • Proficient overall computer skills plus expertise in MS Outlook, Word, PowerPoint & Excel.

  • Must work well in a fast-paced and multi-tasking environment with proven ability to meet deadlines under pressure.

  • Respects confidentiality and adheres to security policies.

  • Ability to read, write and speak English.

  • Must be able to follow and provide written instruction.

  • Must interact and cooperate well with internal and external customers.

  • Proficiency with standard office equipment.


  • Bachelors degree in Human Resources related area

  • Candidate may be currently in pursuit of bachelors degree, but must be close to graduation fulfillment

  • At least 2 years experience in HR preferred

  • May be through internship or course studies.

  • On-the-job experience is strongly preferred
