GENERAL RESPONSIBILITIES: FLSA: Hourly

Supports District schools and principals in their effort to foster an optimal educational environment for students. Provides accurate records of student attendance during the school year and promotes a friendly attitude among the students, parents, and school staff. Serves as lead operator for the computerized Student Information Record System.

MAJOR TASKS:

  • Greets and directs parents, students and visitors. Directs tours as needed.

  • Answers telephone. Routes telephone calls and messages to staff.

  • Receives and records student absence calls. Contacts parents regarding student absences.

  • Maintains accurate daily attendance records, daily and weekly enrollment figures.

  • Prepares attendance and other reports as directed. Reports truancies to reports as directed.

  • Runs report cards.

  • Enters student information and attendance on the computer.

  • Registers new students and prepares packets. Receives all required documentation from parents or guardians, and completes all related paperwork for registration.

  • Mails requested student records, requests for new student records and notifies teachers when records are received.

  • Prepares and maintains a cumulative folder and permanent record card for each student, updates information such as test scores, grades, addresses, etc.

  • Establishes and maintains records for open enrollments, waiting lists, and transfers and placements.

  • Records student admissions and withdrawals and maintains current class lists.

  • Maintains an up-to-date file on Variance and Open Enrollment applications.

  • Prepares bus permits daily as needed, informs teachers and Transportation Department of special needs of students.

  • Assists children who miss buses, contacts parents and escorts students to supervised after school care if they cannot be picked up immediately.

  • Notifies parents and escorts students to after school care or arranges transportation home with approval by the principal.

  • Prepares Incident Reports in as much detail as possible whenever any unusual incident occurs on campus, i.e., violence on campus, attempts to remove children without custody, adult strangers on campus, students' attempts to leave campus without permission, threats or threatening phone calls and phone calls attempting to solicit information about students.

  • Monitors the return of students to classrooms.

  • Sorts and distributes mail to staff.

  • Maintains/updates school handbook and District policy manual as needed.

  • Operates and coordinates maintenance for all office equipment.

  • Assists school secretary, principal, staff and students as needed.

  • Maintains confidentiality of student information.

  • Performs other duties as directed.

QUALIFICATIONS:

  • High school graduate or equivalent.

  • Ability to learn and operate computer as required.

  • Ability to type accurately.

  • Knowledge of office methods and operation of office equipment.

  • Ability to apply knowledge of District and state policies, regulations, and school laws.
