Job Description:

What You'll Get to Do:

  • Analyze Federal records requirements.

  • Prepare investigative case files for storage and retention in accordance with NARA, SEC and ENF policies and procedures when cases are closed.

  • Research, locate and retrieve records from storage.

  • Catalog and inventory records accessions.

  • Track locations and content of paper and electronic media, records, containers and accessions.

  • Coordinate with legal staff, FOIA office and storage facility staff to receive and respond to queries.

  • Record and track investigative testimony transcripts.

  • Coordinate establishing litigation holds and sending quarterly litigation hold notices.

You'll Bring These Qualifications:

  • All candidates must meet SEC contract security requirements for eligibility to perform work under the contract.

  • 5 years professional experience

  • 3 years in records management

  • Skills and experience with required tools or applications.

These Would be Nice to Have:

  • Litigation Support experience

Primary Responsibilities The MIA is responsible to locate, disposition, and transition unclassified, Official Use Only (OUO) and Unclassified Controlled Nuclear Information (UCNI) electronic defense programs records from multiple shared drives to the Defense Programs and other agencies within NNSA's Records Archive & Management System (RAMs). The MIA will also transition unclassified, OUO, and UCNI electronic working or active documents from multiple shared drives to established collaboration pages and is responsible to assist with the disposition and destruction of unclassified, OUO, and UCNI paper documents, as a result, must be able to lift up to 25 lbs. Duties include: * Helping to locate, sort, categorize, index, organize, transition, and maintain mixed electronic media and paper documents for determining record status, record series, and disposition against the appropriate record schedule of the multiple shared drives and current records inventory for the transfer to the NNSA RAMS and eventual conversion to new NNSA records management system to include data entry and transfer. * Assist with the transfer of electronic unclassified, OUO, and UCNI working documents and inactive records from multiple shared drives to a single shared drive to prepare for upload to an active Microsoft SharePoint collaboration page. * Upload electronic unclassified, OUO, and UCNI working documents and inactive records to active Microsoft SharePoint collaboration pages. * Transfer electronic unclassified, OUO, and UCNI inactive records to NNSA Records Archive and Management System (RAMS) and ensure transfer items are listed in the Records Request & Inventory Library. * Assist with the disposition and destruction of unclassified, OUO, and UCNI paper documents * Processing, tagging, archiving, and accessing/retrieving mixed media and documents in accordance with established metadata models, procedures and requirements on NNSA portals. * Performing administrative functions to include minute taking, maintaining team project documents, updating slides, updating standard operating procedures, or other internal documentation. * Working knowledge of desktop computers, workstations, operating systems, and software applications in order to troubleshoot, make recommendations necessary to improve organizational operations or assist with software upgrades to meet or improve digital working environment. * Remaining current with the newest digital assessment management and workflow technologies to identify and recommend tools for best electronic file management practices, processes, and procedures. Basic Qualifications Preference is for an individual with experience working in a government, DOD, DOE, or military environment. The individual should have demonstrated experience working with National Archives & Records Administration (NARA) and Department of Energy regulations and records schedules and a have relevant understanding of applicable policies and procedures supporting NNSA programs. The individual should be a self-starter, possess the ability to work in a highly dynamic environment, and effectively interact with a broad range of Federal and military staff and senior leadership. The individual will primarily work from home but may be required to travel to the NNSA Albuquerque Complex or Forrestal and Germantown area to support disposition and destruction of unclassified, OUO, and UCNI records. Specifically, qualifications include: Requires high school diploma or equivalent and 3 years of prior relevant experience. Three years of experience with at least one year of demonstrated direct experience in documentation, cataloging and record-keeping techniques and information management responsibilities in a professional business, Government, DOE/NNSA, Military, or Management and Operating contractor environment. Able to obtain an 'L' clearance within a 1 year since OUO and UCNI do not require a clearance pursuant to NA-70 Controlled Unclassified Information site. Ability to research, organize information, and present or report options to solve/improve organizational operations, procedures, and on emerging standards and best practices in digital asset management, including digital asset preservation and metadata. Ability to leverage critical thinking skills for rapidly shifting environment while maintaining attention to detail in a multi-project work environment with frequent interruptions. Ability to exercise mature judgment and make independent decisions in accordance with established policies, rules and procedures. Ability to work in a team environment; interacting with a range of federal and contractor staff and fully supporting federal team lead to complete assigned tasks and projects. Strong organizational skills and written and verbal communication skills to communicate effectively, verbally and in writing while working in a collaborative team environment. Proficient in MS Office; in particular SharePoint, Word, Excel, Access, and Outlook.
