Position Summary

This position will function as a key part of the team, providing assistance to the management team, the front line for incoming calls and guests at the front desk, as well as providing assistance to the Client Services and Education Management Team.

The Receptionist will be assigned to Client Services and Education. The duties may include but will not be limited to: front desk support, and Client Services and Education support, copying, data entry, filing, collating/binding, answering the phone, mailings, meeting coordination and setup, and client interaction. All duties and tasks will be assigned/approved by the direct supervisor.

Essential Job Functions

  • Work as a team with the other Administrative Assistants to provide a pleasant and unique environment for clients, visitors and staff in the office including answering the phone and covering the general front desk responsibilities as directed by the VP of Client Services and Education.

  • Provide assistance and support as requested by CU*Answers Officers and the Management Team; primarily working with Client Services and Education.

  • Work with direct supervisor on all primary responsibilities; provide backup to other Administrative Assistants as requested.

  • Work with the facilities team to provide backup for general office maintenance and delivery responsibilities.

  • Maintain and present a positive atmosphere and attitude as a member of the CU*Answers team.

  • Complete all tasks as assigned by management.

  • Complete all other duties as assigned by management.

Job Qualifications

  • High School graduate or equivalent is required.

  • One to three years' administrative experience is required.

  • Experience and aptitude using Microsoft application software (Outlook, Word, Excel, and PowerPoint) required.

  • Superior typing, telephone and basic clerical skills required.

  • Excellent organizational skills; ability to effectively handle multiple priorities and meet deadlines.

  • Excellent verbal and written communication skills; ability to compose single correspondence or other materials as directed.

  • Thoroughness, excellent attention to detail; ability to take initiative and work independently.

  • Ability to use discretion when dealing with sensitive and confidential data.

  • Ability to maintain and present a positive and happy attitude.

Provides support to Commercial Loan department by performing a wide array of duties. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Adhere to all bank policies and procedures. Research, assemble, prepare and verify all required information needed for completing full document packages according to bank policies and procedures. Complete all required due diligence and detailed review of necessary documents including, but not limited to: a) property title commitments, b) identity papers, c) lien searches, d) flood determinations, e) surveys, f) environmental, g) appraisals, and (f) regulatory disclosures. Prepare loan documentation for loan closings using information gathered including analyzing complex entity structures and complex collateral. Research and assemble the supporting documentation and verification of all required information needed for analysis and all other processing functions in conjunction with commercial loan transactions. Work in conjunction with pre-close documentation review, commercial lender and credit department to ensure loans are closed with accurate and appropriate documentation. Disburse funds at close including initial loan advance, submit to accounting for payment of invoices and other transactions. Assist loan officers in resolving and clearing loan file exceptions. Attend and complete all training relevant to the job. Coordinate and arrange meetings, conference calls and conference rooms. Correspond with external and internal customers to resolve inquiries. Prepare outgoing mail and correspondence, including e-mail and faxes. Prepare wire transfer requests, verify funds, obtain proper approval authority and general follow through. Organize and maintain electronic filing system. Other duties, projects and responsibilities as requested. SUPERVISORY RESPONSIBILITIES None, however ability to work in a team environment is essential. QUALIFICATIONS To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. EDUCATION and/or EXPERIENCE High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience. Basic knowledge of typing and computer programs such as Microsoft Office Word, Excel, and Outlook desirable. Excellent customer service/phone skills and attention to detail required. MATHEMATICAL SKILLS Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry. REASONING ABILITY Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to problem solve utilizing available resources. Good time management skills. WORK ENVIRONMENT Ability to work in an office environment which may include many hours of computer and phone usage.
