Summary of Responsibilities

The Receptionist role at Bellweather is a vital member of our design-build team, responsible for managing reception activities, providing administrative support, and ensuring smooth operations within the office. This full-time position requires excellent organizational skills, a proactive approach to problem-solving, and the ability to handle multiple tasks simultaneously.

Essential Functions

  • Work in the office five days a week, from 7:30 AM to 3:30 PM, for 40-45 hours weekly.
  • Act as an integral member of our design-build team, coordinating reception activities.
  • Support payroll, bookkeeping, fleet tracking, and building maintenance tasks.
  • Support AR/AP tasks, including client contracts, billing, and receipts.
  • Maintain high awareness of team activities and communicate pertinent information in a timely manner.
  • Troubleshoot questions or concerns from team members, clients, trade partners, or vendors.
  • Greet guests, notify the team of arrivals, receive packages, and manage daily mail.
  • Handle all incoming phone calls with professional and warm phone manners.
  • Ensure meeting spaces are well-equipped and coordinate accommodations for various events.
  • Monitor and order office, kitchen, and bathroom supplies.
  • Organize team-building activities.
  • Oversee general office cleanliness, schedule maintenance, and handle equipment issues. 
  • Assist the Leadership Team with administrative support as needed.

Education, Experience, and Skills Required

  • Associate or bachelor's degree from an accredited university, or1 to 2 years commensurate experience in administration, facility management, or other service- related field is required
  • Competency with basic office equipment: phone system, computer, copier, scanner, etc.
  • Solid computer skills, especially with Microsoft applications. Able and willing to learn new technologies, problem solve and adapt as needed
  • Competency with basic financial instruments: checks, deposit slips, receipts, bills, purchase orders, expense reports, etc.
  • Adaptability and resourcefulness to handle unforeseen challenges and changing priorities.
  • Knowledge or interest in residential design or related fields is advantageous but not required.

Compensation

  • $18-$20 per hour depending on experience
  • Medical and Dental Insurance (50% paid by employer)
