We are seeking an outstanding receptionist to join our busy and growing plaintiff's personal Injury Law firm.

If you are a professional, motivated Receptionist/Office Assistant, we want to hear from you!

As a receptionist, you will be responsible for answering and routing calls, entering information in our internal system, communicating with clients, attorneys and other staff, assisting attorneys and paralegals with administrative tasks, and providing general support to the smooth running of the office.

This position requires extraordinary phone etiquette, the ability to efficiently multi-task and remain organized.

This is a full time position in our Irvine office. Preference will be given to candidates who are bilingual in English and Spanish, but this is not a requirement of the position.

VIEW JOBS 3/10/2020 12:00:00 AM 2020-06-08T00:00 Rudolph and Sletten is looking for a Receptionist in our Irvine office to greet vendors, customers, and other visitors. This includes operating a switchboard to route incoming calls, place outgoing calls, as well as performing and providing administrative support tasks. This position reports to the Office Manager and Administrative Services Manager. Essential Duties and Responsibilities: * Answers all in-coming phone calls and directs all calls to the appropriate party either within the office or job sites in a timely and professional manner. * Meets and greets all office visitors in a timely and professional manner. * Responsible for general administrative and clerical duties. * Maintains highest level of confidentiality at all times. * Accurately controls and organizes files for departmental project staff. * Provides accurate and timely retrieval of filed information as required. * Processes routine correspondence per guidelines and directions from the supervisor. * Prepares outgoing correspondence, including but not limited to Federal Express and UPS packages, as required. * Represents the company in a courteous, professional and diplomatic manner. * Accurately files and maintains organization and completeness of all correspondence files for front office. * Assists with special projects when needed. * Receives incoming transmittals, which are logged for distribution. * Notifies office personnel in a timely and professional manner when visitors arrive. * Coordinates and tracks the whereabouts of office employees, visitors from other offices, guests, visitors such as sub-contractors, owners and/or their representatives, and consultants. * Maintains a neat and presentable reception area at all times. * Coordinates the usage of the conference rooms. * Composes and/or edits letters, memos, reports, procedures, etc., as required. * Assists with arranging for transportation when necessary. * Prepares T&E reports for office personnel. Codes incoming office invoices and sends to accounting for processing. Other Duties: * Demonstrates knowledge of construction job site concepts, practices and procedures. * Prepares, receives, date stamps, and routes all incoming and outgoing correspondence. * Maintains ongoing coordination with Administrative staff to control organization of the office, this includes, but is not limited to maintaining a minimum of one support member in the office at all times to answer telephone. * Works under immediate supervision. Primary job functions do not typically require exercising independent judgment. Relies on instructions and pre-established guidelines to perform the functions of front office. * Assists in ordering office items for staff members as well as office & kitchen supplies as directed by supervisor. * Performs all other duties as assigned by supervisor. * Ensure compliance with OSHA regulations to include health, safety, and welfare as appropriate. * Stocking and maintaining office supplies as needed. Updating inventory supplies list as needed. Required Job Skills: * Must have excellent communication skills including courteous phone and receptionist skills and exceptional writing, spelling and grammar skills. * Requires the ability to maintain confidentiality of work items at all times. * Must have strong team skills. * Demonstrates efficient multi-tasking abilities. * Excellent customer service. * Must be dependable, consistent, diligent, and thorough. * Must maintain a professional appearance at all times and abide by the Company dress code for the regional office. Computer Equipment and Software: * Intermediate knowledge of Windows. * Knowledge of multi-line phone system. * Intermediate skill level with MS Word / Excel / PowerPoint / Outlook, Blue Beam. Education and Experience: * High School Diploma or equivalent required. Associates degree in Business or Finance a plus. * One to three years of experience in a similar position preferred. * Prior experience is not required; however, basic typing (30-40 WPM) and office organizational skills are necessary.
