Thompson Engineering is looking for a receptionist for the Mobile, AL corporate office. This position is responsible answering phone and directing calls and messages to the appropriate personnel. The Receptionist serves as the initial greeter for all incoming visitors and provides instructions and information. Performs clerical and office support activities necessary for the office to effectively operate its day to day operations.
Essential Functions of the Position
Answer the office phones and deliver calls and messages promptly.
Greet customers, guests and visitors in a professional and timely manner.
Scan, email and/or fax documents.
Sort all incoming mail and distribute to the appropriate departments.
Type and send correspondence as needed.
On a daily basis, prepare outgoing mail for pickup by the postal service or overnight courier.
Ensure that the lobby area is safe and clean remains in excellent order throughout the day.
Maintains schedules for conference and meeting rooms.
Orders and tracks office supplies for reception area.
Track company training in compliance with Thompson Holdings, Inc. Health, Safety & Environmental Management System, safety policies & procedures, safety execution plans and Job Safety and Environmental Analyses.
Serves as records manager which includes managing office records arrangement system and off-site files.
Provide clerical and administrative support functions to teams as needed.
Attend and pro-actively participate in monthly safety meetings, project toolbox safety meetings and safety moments.
Keep the refrigerator and break room stocked for upcoming meetings and customer requests
Ensures on time and regular attendance.
Other duties as required
High School diploma or equivalent
One year of experience in a professional office environment
Effective written and oral communication and customer service skills
Proficient with Microsoft Word, Excel and Outlook
Must be willing to work flexible schedules and overtime as needed.
Ability to sit for long period of time, operate a computer, phone system and other office equipment.
Ability to stoop and bend for filing
Ability to lift and carry up to 25 lbs.
