Job Description:

  • Maintains reception area by greeting visitors and directing them appropriately.

  • Answer questions regarding employment opportunities.

  • Answers the incoming telephone lines and directs calls to the appropriate people.

  • Assign visitor tags and maintain visitor log book at reception desk.

  • Manage intercompany mail between the North and South buildings.

  • Maintain and update phone directories, service anniversaries and birthday sheets.

  • Order Office supplies for HR.

  • Updates procedural processes for the reception area.

  • Prepare HR Training Room by making sure all necessary supplies are clean and on hand, ensure that all equipment is operating (i.e. laptop, overhead projector, DVD player).

  • For trainings and other events, ensure refreshments and catered meals are delivered when expected.

  • Maintain a money fund for Canteen refunds for personnel.

  • Assist personnel with instructions and/or clarifications on reserving conference rooms.

  • Maintain, coordinate and schedule meetings when assigned

  • Enters and maintains employees in the EZLM time-keeping system.

  • Update Organization Charts and other related sharepoint documents as instructed.

  • Supports internal and external Employee events and community outreach programs.

  • Perform special projects or other related duties as assigned.
