WHY THIS ROLE IS VALUABLE

As our Receptionist, you will have the capability to think fast, solve problems and ensure that visitors feel they are in good hands. Our Receptionist is often the first person and sometimes the only person visitors meet. First impressions matter and this role has a direct impact in branding the organization. As our Receptionist, you will be empowered to be extremely influential as a reflection on the entire organization. This position is based out of Revantage's headquarters in Chicago, IL.

RESPONSIBILITIES:

  • Greet guests and employees warmly and professionally with a pleasant demeanor

  • Answer incoming calls for the company, take messages (as needed), and route calls to the appropriate party

  • Book conference room requests upon receipt

  • Assist with setup/take down of conference rooms and catering

  • Use visitor processing software to update visitors that may be coming in for the day/week so they have access to the building

  • Monitor and order office supplies

  • Code and approve all invoices for Office Services

  • Act as backup support for travel coordination and expense processing

  • Support various companies/teams with catering requests

  • Monitor Office Services email inbox reply as appropriate

  • Monitor corporate supply request inbox

  • Stock copiers, sorting mail and delivering package as needed

Requirements:

  • High school graduate

  • Maintain Executive Presence at all times as this position if the first contact for all visitors

  • Excellent communication and customer service skills with the ability to effectively interact with customers and employees

  • Thorough knowledge of grammar, punctuation, and spelling required to ensure all documentation is prepared in an accurate and professional manner

  • Ability to identify and utilize resources required to complete daily tasks

  • Knowledge of general administrative procedures with intermediate skills utilizing computer software applications for word processing, spreadsheets, presentations, and database management (MS Word, Excel, PowerPoint, Outlook, and Internet)

  • Ability to multi-task, work independently, and utilize good judgment to plan, prioritize and organize workload

Preferred:

  • Minimum 1 year receptionist, administrative or customer service experience

In addition, this person will provide support for nearly 50 remote project sites across the Chicagoland area. The ideal candidate will be a highly motivated, creative, upbeat, organized and service-oriented person who has fantastic people skills. As the first source of contact upon entering the office, this person is responsible for providing a high-energy, positive environment. Responsibilities * Greet visitors, clients, employees * Keep our common areas neat, clean and welcoming * Keep office stocked with all supplies * Responsible for pick-ups and deliveries and mail at the front desk * Maintain copier and other office equipment * Answer and triage incoming phone calls * Manage meeting coordination, i.e., ordering food, materials, conference room schedule, technical assistance, welcome board * Complete data entry for various projects * Create various progress reports and maintain team directories * Other tasks as assigned by local management Qualifications EXPERIENCE/EDUCATION * Associates or Bachelor's degree * 1 - 3 years of relevant experience * Or equivalent combination of education and experience KNOWLEDGE, SKILLS & ABILITIES * Proven experience as front desk representative, agent or relevant position * Familiarity with office machines (e.g. fax, printer etc.) * Knowledge of office management and basic bookkeeping * Excellent knowledge of MS Office (especially Excel and Word) * Task-oriented, pays attention to details, systematic, able to maintain structure * Responsible, dependable, and trustworthy * Consistent, follows procedures and works well under pressure * A positive attitude and deep commitment to relationship building, follow-up, and customer service * Strong interpersonal skills and friendly demeanor * Above average computer proficiency. Competence with computers, internet, email, social media, copiers, and multiple line phone system * A team player who enjoys working with and assisting others * Strong organizational skills.
