Responsible for the prompt and courteous greeting and direction of incoming calls and business related visitors to the facility. Responsibilities include maintaining the appropriate appearance and functionality of the reception area(s) and adjacent conference rooms, and performing administrative tasks as required.
This a part-time position. Work hours are Monday through Friday, 12:00pm until 5:00pm.
Answers, responds and directs all incoming calls to the main facility number(s).
Greets visitors (business related) and notifies appropriate individuals of their arrival.
Maintains the reception area(s) in a neat, clean and orderly manner. Waters any plants in area as needed.
Maintains the conference/meeting rooms in a neat, clean and orderly manner. Performs checks prior to meetings to ensure basic supplies and requirements are in place, i.e. seating is appropriately positioned, etc.
Performs check after meetings to place room back to original condition.
Notifies Administration Assistant of requests to reserve conference/meeting rooms.
Ensures meetings in conference rooms are not unduly interrupted/ disturbed.
Ensures that any refreshments used during meetings in conference rooms are properly disposed.
Ensures that refreshments in kitchen area are replenished as necessary.
Turns off any electrical appliances, such as coffee maker, etc., at end of day and equipment is rinsed/ cleaned.
Forwards incoming faxes to appropriate individuals (resumes, technical bulletins, etc).
Responds, as directed, to non-selected resumes (paper and/or electronic). Maintains resume log and resume files (applications/resumes kept for one year from date received).
Forwards phones to Security at end of day.
Performs other related duties as assigned or requested.
Performs appropriate administrative functions as requested.
Dusts trophy case/trophies as needed.
High school diploma or equivalent.
Ability to direct and track multiple calls.
Pleasant demeanor speaks confidently.
Good verbal communications skills, with clear articulate pronunciation.
Professional appearance (appropriate dress, no jeans).
Administrative skills; experience with MS Office software required.
Ability to sit for long periods of time.
Able to work full days and up to 40 hours per week when needed.
