The Child Welfare Team, part of the Oregon Department of Human Services, is seeking a dedicated and compassionate individual for an Office Specialist 2 in the St Helens office.

As a Receptionist (Office Specialist 2) you will become an essential part of the Child Welfare agency's support staff unit. Your clerical support will make a difference in the lives of children and families.

This is a temporary position and is scheduled to end approximately 6 months after the employment start date.

  • Bilingual candidates in Spanish are encouraged to apply, but it is not a requirement. If you are bilingual in English and Spanish, you may receive a 5% differential pay contingent upon passing language test(s) evaluating your proficiency in the bilingual needs of the position.

Your duties at a glance

As an employee working within the Child Welfare Program, you will have an opportunity to make a meaningful difference in the lives of Oregon's most vulnerable children and families. As an Office Specialist 2, you will:

  • Utilize customer service skills by answering quick questions for walk-ins, answering incoming calls, transferring calls to appropriate parties, and notifying caseworkers when appointments have arrived with a pleasant and helpful demeanor.

  • Disburse mail received, meter mail, & packages as directed. Maintain mailboxes and mail meter machine.

  • Assist case management coordinators with uploading documents, filing, locating files, and preparing files for mailing.

  • Distribute store valued cards to clients as directed by approved funding request, maintain stock control logs for accuracy to pass monthly and quarterly audits.

  • Assist with delivering state vehicles to contracted providers for routine maintenance.

  • Assist with review conference room calendars for availability and reservations.

What you need to qualify

Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR

An associate degree in any field; OR

An equivalent combination of education and experience.

Essential attributes

We are looking for candidates with:

  • Bi-Lingual (English/Spanish) highly preferred

  • Demonstrated ability of strong organizational skills including multi-tasking, able to prioritize work, and close attention to detail.

  • Experience using Microsoft Excel, Word, Outlook, Internet Explorer (or other web browser), and other computer applications.

  • Experience handling and maintaining confidential information.

  • Experience in strong verbal and written communication skills with customer service skills.

Working conditions

  • This is in an in-person position.

  • There may be prolonged periods of sitting or standing in front of a computer. You will be working in an open office environment with noise from telephones, printers and other staff.

  • The nature of conversations you may overhear may include uncomfortable topics related to child abuse and neglect.

  • The employee must be able to work with frequent interruptions or distractions.

  • Position may require some travel to do purchases with SPOTS card.

  • A valid driver's license from the state in which they reside is required and must have an acceptable driving record as determined by the Background Check Unit.

  • Occasional compensated overtime during evening or weekend hours may be required.

  • You may interact with a wide range of people including some who have experienced trauma and may exhibit challenges in controlling their emotions.
