Provides general front desk coverage including greeting guests, answering and directing incoming calls, and maintaining supplies and reception area appearance. Directs County foot and phone traffic for anyone who stops by or calls in.

This position also provides a variety of administrative duties in support of the 11th floor corridor of the Midland County Courthouse, including but not limited to Public Works, Purchasing, County Attorney, County Judge, Commissioners, and Facilities. This role is very diverse and requires the ability to multi-task, take independent initiative, properly organize and prioritize in order to meet deadlines while managing competing priorities. Must embrace a strong customer service mentality and function with a high degree of professionalism.Include the following. Other duties may be assigned.

  • Front office receptionist responsibilities include: handling incoming calls and greeting visitors and guests.

  • Provide County process support which may include; scheduling appts, providing administrative support, and providing process-related guidance and information to employees, department heads, elected officials, and constituents.

  • Utilize accounting software (New World) to provide low-level accounting support such as invoice entry, Purchase Orders, Requisitions, and other related financial data entry and administrative duties.

  • Answers phones, screens, and directs phone calls/takes messages for County Judge and staff. Transfers call, takes and relays message, schedules appointments and provides information.

  • Receives mail, documents, packages, and courier deliveries and delivers or distributes items.

  • Performs administrative and clerical support tasks.

  • Performs basic filing and recordkeeping.

  • Performs other duties.

  • Track office supply inventory and work to order office supplies, as needed, using a cost-effective approach.

  • Provides coverage for the office between 8 am and 5 pm (excluding the lunch hour 12 pm to 1 pm).

High-School diploma, Administrative Assistant business certificateor in related field (preferred). Equivalent combination of education and experience which provides the required knowledge, skills, and abilities. 3 to 5 years of office experience. Government experience prefererd.

Entry-level position. On-the-Job training opportunity.

Principles, methods, and practices of basic office skills. Knowledge of County and departmental organizational structure, policies, procedures, rules, and regulations preferred.

Communicate ideas and instructions clearly and concisely. Coordinate with other staff, departments, and officials.

Use basic administrative problem-solving techniques. Use computers in a local area network environment. Modern technology and data entry skills required.

Must be able to read and understand the Midland County personnel policies. Ability to maintain records, use word processing programs and spreadsheet functions, read and understand instructions, analyze and interpret data, spell and use correct grammar, prioritize and schedule work to meet deadlines, communicate effectively verbally and in writing, work independently in the absence of specific instructions.

Operate computer programs such as Microsoft Office; ability to adapt to new computer programs; ability to utilize the internet for research; read, analyze and interpret County policies and procedures; read, analyze and interpret laws and codes; draft, edit and proofread correspondence and other documents; communicate effectively in person and over the phone; prioritize tasks to be performed and assigned; perform basic mathematical functions; operate office equipment such as copy machine, fax machine, telephone system and calculator; answer the telephone, retrieve voicemail messages and transfer calls; and establish and maintain effective working relationships with co-workers, county employees, the general public and the media.
