Job Description:


Responsible forunderstanding and efficiently operating the Division's telephone equipment,greeting and directing incoming phone calls and visitors, receivingmail/deliveries and assisting with various other duties as assigned.


  • Maintain a positive attitude and professional demeanorwhen answering and directing all incoming phone calls and greeting visitors.

  • Responsible for stamping, sorting and routing of allincoming U.S. Postal mail and office deliveries. May coordinate transbagdeliveries and pickups for division if applicable.

  • May maintain postage meter equipment as well as themaintenance of appropriate levels of all airbills and packaging materials for Divisionif required.

  • Assist with maintaining general supplies for office, mainkitchen/lounge area.

  • Update and distribute community lists and inter-officephone list if request.

  • Atthe discretion of manager, assist other departments within the division withclerical needs including bulk mailings,typing, etc.

  • Performall other duties as assigned.


  • One (1) - three (3) years related work and officeexperience preferred

  • High school diploma or GED required

  • Basic skills in Microsoft Word and Excel

  • Stronginterpersonal, organizational, verbal and written communication skills

  • Ability to self-manage time and offer accurate andtimely feedback

  • Maintain regular attendance and punctuality relative todaily work schedule is required

  • Follow directions from a supervisor

  • Understand and follow posted work rules and procedures

  • Detail oriented

  • Works well under pressure and is capable of handling multipletasks with simultaneous deadlines

  • Accept constructive feedback

  • Team player


Thisjob is primarily a sedentary office position, which requires the ability tooccasionally bend, stoop, reach, lift, move, and carry office materials andsupplies weighing 25 pounds or less. Finger dexterity is required to operate a computer keyboard.

They will assist the operations and property management teams with a variety of administrative tasks. ESSENTIAL FUNCTIONS/TASKS: * Answer main switchboard phone lines. Assist callers when key personnel are out of office. * Greet incoming tenants, guest, vendors, etc. * Create, file or mail correspondence and memos. * Design and prepare reports required for the properties or management. * Prepare and/or maintain tenant, vendor and property files. * Respond and resolve tenant work order requests or complaints in a timely and professional manner. * Administer Tenants' and Landlords' compliance with terms of the lease. * Prepare lease documents or tenant notices as required. * Routing and distribution of all internal and external correspondence. * Send out Monthly Rent Statements, collect unpaid rents, and address Rent Defaults as required. * Update tenant and vendor contacts or information as needed. * Keep Certificate of Insurance documents updated for all tenant and vendor contractors. * Initiate move-in and move-out paper-work for accounting purposes and complete related paperwork for security deposit refunds or closing out a tenant account on a timely basis. * Maintain and track lease rollovers (Lease Status Report) or projects for pending transactions and items requiring follow-up. * Responsible for safe keeping of key and lock distribution to tenant suites. * Additional duties and special projects as assigned. EXPERIENCE, TRAINING, SKILLS REQUIRED: * A minimum of 2-5 years of experience administrative role in a property management office. * Utilize good customer service skills and/or phone etiquette when assisting tenant inquiries, vendors and others. * Strong communication skills. Organized, attention to detail and multitasker. * Knowledge and understanding of real estate law, finance, accounting practices and procedures, ability to assimilate new information. * Proficient use of computer systems including Microsoft Office. Yardi Yovager experience a plus. * Dependable, reliable, cooperative. Good interpersonal skills. Positive attitude and, cheerful disposition in a team oriented environment. EDUCATION: * Bachelor's Degree preferred but not required LICENSE OR CERTIFICATE REQUIRED: * Valid Drivers License and registered automobile TRAVEL REQUIREMENTS: Travel to assigned properties may be required.
