Our Legal client in Palo Alto is looking for an amazing Front Desk Receptionist on a full time permanent basis.

You will be supporting the front desk with all Receptionist and Front Desk duties which may include light administrative work - scanning, filing, data entry and more.(Please see the below)

Duties will include :

  • Handle client calls with the strictest of confidentiality and professionalism

  • Manage a calendar regarding meetings, conferences and events as needed

  • Documentation handling - scanning, filing and data entry

  • Any additional ad-hoc tasks as required by Manager

What you must have :

  • Must have an excellent working knowledge of Microsoft Office Suite

  • Legal experience is a plus

  • Super detail oriented and customer success driven

  • Excellent written and verbal communication skills

  • Able to learn and adapt quickly

  • Bachelor's Degree or equivalent years experience in front office administrative support

  • Schedule

  • Mon

  • Fri

  • 8am to 5pm

Duties and Responsibilities * Manages all aspects of the Northern California OCI process including campus interviews, callbacks, data, attending recruiting committee meetings, traveling to select campuses and follow-up. * Plans and organizes all aspects of the summer associate program including creation of summer manual, assignment of Summer Mentors, Orientation, Training sessions, Counseling, Information dissemination, and office assignments. Provides recruiting reports to committee. * Tracks all summer associate assignments and evaluations. * Works closely with Summer Chair and Summer Committee members to ensure summer program is running smoothly. Organizes and attends Summer Committee meetings. * Organizes, plans and attends all summer social activities including evening events. * Manages all financial aspects of recruiting which includes reimbursing candidates and corresponding with other law firms when expenses are shared. Prepares budget for summer program. * Coordinates office assignment with Office Services Manager and Secretarial Assignments with Secretarial Manager. * Prepares and organizes National Associate for Law Placement (NALP) forms, law school forms and firm resume. * Oversees and/or inputs data regarding each candidate that has interviewed with the Northern CA offices into the recruiting database. * Prepares hiring status reports and applicant tracking reports. * Works with other recruiting staff in other Sidley offices, and participates in recruiting conference calls with other offices on a regular basis. * Liaison with HRIS on data management. * Coordinates and manages summer and new associate onboarding paperwork. * Keeps staff apprised of any data process improvement during the rollout of our new recruiting database. * Works with HRIS on any audits that apply to the Northern California Offices. * Coordinates all correspondence and recordkeeping of active and inactive applicants. * Screens resumes and responds to email inquiries. * Performs other duties as assigned or as judgment or necessity dictates.
