Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, requisition of supplies as well as additional clerical duties.

Essential Functions


  • Answer phones

  • Follow script of answering calls according to company procedures

  • Properly manage multiple phone lines

  • Triage calls and take messages appropriately

  • Transfer calls and use voicemail system appropriately

  • Assist callers as needed

  • Be familiar with key contact people when problems occur

  • Properly use intercom system to greet guests

  • Assist guests as needed

  • Appropriately communicate and interact with guests, client families, and employees

  • Maintain confidentiality of Company proprietary information and Client specific information

  • Guest reception

  • Communication

Program/Therapy Support

  • Laminate and copy documents as needed

  • Bind manuals and booklets as needed

  • Replenish site documents as needed

  • Maintain documents at Employee Center, etc.

  • Program/Therapy supplies

  • Organize and maintain inventory (books, video tapes, etc.)

  • Organize and maintain inventory

  • Maintain copy, printer, fax machines (give copier meter reading to Zoom imaging, change ink cartridges, replenish paper as needed, troubleshoot, call for repair, etc.)

  • Maintain bins as needed and assist in shred pick up

  • Assist in set up of conference rooms (set up chairs, tables, equipment etc.)

  • Miscellaneous errands as needed

  • Bank, billing deliveries, supply purchases at Costco and other misc stores, etc.

  • Office supplies

  • Office equipment

  • Shred bins

  • Conferences/Meetings

Housekeeping/Building Maintenance

  • Empty trashcans as needed

  • Maintain and replenish inventory of paper, cleaning, and bathroom supplies as needed

  • Regularly clean and maintain bathrooms, kitchen, art room, playroom, conference rooms, outside play area (sweep up sand, etc.)

  • Spot clean spills and client accidents

  • Monitor interior and exterior of building for damage, vandalism, littering, parking violations, etc.

Client Care

  • Monitor arrival and departure of buses

  • Client retrieval off and board on bus as needed

  • PVFs -Sign in/out clients

  • Assist with client toileting/diapering as needed

Human Resources

  • Processes all employee data change and change in relationship

  • Maintains employee DL, TB test dates, auto insurance, birth dates, and addresses in NPA Works

  • Maintains CDE spreadsheet

  • Assists with quarterly safety inspection

  • Coordinates monthly fire drills

  • Maintains emergency plan and safety binder

  • Field all outside customer and vendor communication

Work Ethic/Professionalism

  • Complete tasks in a timely manner

  • Ability to multi-task and prioritize work

  • Complete tasks independently

  • Implement changes in procedures immediately

  • Follow company policies and guidelines appropriately

  • Meet weekly with immediate supervisor (give updates on site-specific tasks, recruit needed information/clarification, seek feedback, etc.)

Required Skills and Competencies

  • 18 years or older

  • Possess High School diploma or equivalent (GED)

  • Submit all required paperwork: fingerprint clearance, negative drug test, negative TB test, copy of drivers license, copy of High School Diploma/GED/College Transcripts, copy of automobile insurance

  • Be eager to learn and respond positively to feedback

  • Be professional, motivated and energetic

  • Possess basic computer skills (Microsoft Office)
