The Receptionist is part of JLL's Experience Services team and will provide administrative, receptionist and concierge support duties in accordance with JLL policies & procedures, and, in keeping with the client and Site Facility Manager requirements, assist in achieving Key Performance Indicators and operational targets for the site. They will perform duties with integrity and diligence in a professional manner. The Receptionist is also responsible for the delivery of amazing client and guest experiences by ensuring that all customers and visitors are assisted in a welcoming, professional, and friendly manner. This client-facing role provides the opportunity to combine your passion for service, brilliant people skills, and enthusiasm for creating a hospitality-focused workplace environment.

Key Responsibilities

  • Enthusiastically welcome guests, anticipate their needs, assist with arrivals, departures, and office orientations.

  • Engage visitors, employees, and callers in a way that makes them feel warmly welcomed and assisted in a helpful and timely manner.

  • Demonstrate confidence, professionalism, responsiveness, and exceptional customer service skills.

  • Act as a central point of contact, providing information and wayfinding for the campus, services, and activities.

  • Actively monitor and maintain the front desk, lobby, and surroundings to ensure an environment that is safe, clean, organized, and reflects brand standards.

  • Execute the badging process for employees, visitors, and third-party providers.

  • Implement and monitor standards of service to meet and exceed expectations.

  • Connect with clients, customers, and support teams to proactively anticipate needs, identify issues, and deliver creative solutions.

  • Collaborate with all services within the facility and work with facilities management to ensure a safe and comfortable work environment.

  • Work across teams to proactively communicate and prepare for meetings and events, to anticipate and address concerns, and to ensure operations without incident.

  • Create work orders for custodial, maintenance, safety, and security concerns through the appropriate channels/systems.

  • Identify potential risks and escalate, as appropriate, to ensure no privacy breach, security incident or disruption to the Client's operations occur.

  • Helps support cost savings targets to contribute to exceed or achieve account savings goals.

  • Assist Facility Manager with tactical planning for the facilities team goals and objectives.

  • Assists with receiving and dispatching work requests to technical staff, vendors, or other services providers.

  • Proactively develop and maintain client relationships ensuring that expected service levels are achieved. Comply with all requirements of the Client contract and meet or exceed Key Performance Indicators.

  • Deliver an exceptional quality of service, as reflected by client feedback.

  • Support the day-to-day delivery of services on site in accordance with all agreed policies, procedures, and contract scope.

  • Enhance the client experiences by providing exceptional customer service.

  • Manage sign in process for vendors and visitors with professionalism and hospitality.

  • Provide high-level administrative support to employees and allow wayfinding and amenities within the building, neighborhood amenities, and organizational information.

  • Handle incoming and outgoing calls including distribution of any messages.

  • Receive, inform, and guide visitors including coordination with Client employees.

  • When applicable, maintain conference room booking schedules to maximize efficient use of space.

  • Responsible for maintaining all contact lists including suppliers/contractors.

  • Provide assistance in general administrative activities and any other duties as assigned by Facilities Management team.

  • Assist with mailroom and perform associated functions including management of mail service and courier contractors.

  • Participate as a key team member in responses to emergency situations.

  • Support delivery of site amenities and programs as directed, including but not limited to janitorial, materials store, document management, copy services, and shipping programs.

  • Coordinate and manage special requests for workplace services that are outside of the routine services provided.

  • Ensure compliance within delegated financial and contractual authorities.

  • Actively support an environment of teamwork, co-operation, performance excellence and personal success.

  • Act as an ambassador for JLL by behaving consistently with cultural and ethical requirements and participating in company activities.

  • Perform ad hoc assignments and administrative support for seamless and timely delivery of services.

Qualifications

  • Ability to adequately perform required job functions including being able to lift, bend and move in such a way as to perform job tasks in a safe and approved manner.

  • Ability to work independently with little supervision.

  • Self-motivated; confident, energetic, and flexible

  • Minimum 1- 2 years of previous customer service, security, or hospitality-related experience

  • People Person: The best part of serving others is creating experiences for them that go beyond the expected.

  • Flexibility and positive attitude in managing shifting daily priorities.

  • Excellent communication, organization, and problem-solving skills.

  • Providing amazing experiences requires the ability to communicate professionally through the spoken and written word. Fluency in English required.

  • Knows how to multi-task and prioritize while ensuring consistent and elevated guest experiences and accuracy.

  • Working knowledge of a range of information technology tools and platforms

  • Working knowledge of Microsoft Office suite (Teams, Excel, PowerPoint, Word, and Outlook)

  • Ability to perform minimal physical activity such as carrying small packages.

Estimated compensation for this position is:

50,000.00 - 60,000.00 USD per year

The pay range listed is a total compensation range including bonus, if applicable. The provided range is an estimate and not guaranteed. An employment offer is based on applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data.
