  • As the Receptionist at our client's high-traffic facilities, you will be in a customer-facing role, as well as high-level visibility within the Oklahoma City community. Receptionist Services will consist of the following duties:

  • Greet guests at the receptionist desk

  • Assure guests are registered by the host; register guests on behalf of the host

  • Issue appropriate visitors' badge; collect badge prior to exit

  • Assure guests have viewed the site HSE Orientation file on the current visit or on a past visit (each guest must view the orientation at least once)

  • Assist guests with reasonable needs, i.e.- rest room access, escort as required if appropriate, etc.

  • Assure host is notified of guest's arrival; assure host meets guest in a timely manner

  • Notify Security at close-of-business if the visitor log indicates that visitors still remain in the building

  • Provide general help and assistance as requested by Owner

  • 2 years of prior experience in a customer service, receptionist, or other related role

  • HS diploma

Receptionists' duties include offering support across the organization. You will be welcoming guests, and Paycom Employees, as well as redirecting phone calls. As a Receptionist, you should have a positive and upbeat personality, as this is a customer service role. The ideal Receptionist should be able to deal with emergencies in a timely and effective manner. Multitasking and stress management skills are essential for this position. This roll may require working in shifts, so flexibility is a plus. Key Performance Objectives * Answers incoming calls and directing them to appropriate destination. Individual Receptionists will answer 250 to 300 calls daily which is the required call goal during non-peak times. During peak phone times Receptionists are required to take a minimum of 350 calls. During Year-End individual Receptionists will answer up to 500 to 600 + calls daily. Receptionists are required to answer within the first ring, keeping the average of calls answered within 4 seconds. * Exuberates excellent internal and external customer service. As the face of Paycom, Reception is committed to directing incoming communications to the appropriate personnel by providing excellent customer service. Through direct interaction with employees, clients, and visitors, Paycom's ability to lead the industry will always begin at the front desk. While sitting at the desks Receptionists are required to greet visitors with a welcoming attitude when they arrive and notify the appropriate personnel. Team members need to be empathetic and demonstrate understanding of internal customer concerns from the customer's perspective and assist urgently and resolve issues effectively. * Welcomes onsite visitors and determines nature of visitor business. Members of Reception will need to greet every visitor at each desk with a positive and welcoming attitude. Receptionists should always act courteously, compassionately, and responsively to all internal and external customers. Each Receptionist will need to determine if the visitor will need access into Paycom and if so, the Receptionist must be able to communicate effectively with OPS admins, Maintenance, and other Paycom employees within 5 minutes. * Manage Time, priorities, and resources effectively. Assumes responsibility for ensuring desk duties and clerical responsibilities are done accurately and timely. Employees should use available resources effectively and efficiently. They will need to be self-motivated to constantly improve processes, possess great time management skills, and maintain a high level of knowledge. Being able to multi-task, have organizational skills, and time management are required for this position. Sitting at other desks, Receptionists are responsible for other administrative tasks, updating bridge phone system, updating spreadsheets, etc. in a timely manner. * Assumes responsibility for establishing and maintaining effective communication and coordination with Paycom personnel and management. Receptionists are required to have excellent written and verbal communication with external and internal customers. Team members will need to keep supervisors informed of important details. Team members will promote team and departmental team work and reflect a positive attitude at all times. Receptionists are responsible for taking messages and communicating it to the correct personnel. Willingness to learn, understand, retain, and demonstrate knowledge of the Paycom system as it pertains to task initiatives. This will require the member to be a self-starter and require sustained motivation to complete the task with little supervision. * Maintain office security by following all safety procedures and communicating with our Security team. Team members will need to be able to check out temporary badges, and green/orange visitor badges in our Visitor Management System within 5 minutes of internal and external customer arriving to the reception area. Also, they are responsible for notifying Security and HR when a badge has been misplaced and needs to be suspended and replaced. * Regular attendance as required. Every member of this team has a responsibility to this company and our clients to ensure that they are here on time and follow attendance policy which requires attendance on a regular basis.
