IST Management is seeking a Legal Receptionist to join the Baltimore, MD team today! The primary focus of the Receptionist is to greet and assist clients, visitors and vendors in a professional, courteous manner. Also responsible for answering incoming calls from clients, reserving conference rooms/visiting attorney offices for attorneys and guests, and maintaining the electronic conference room schedule.

Hourly Compensation: $22.00-$23.00

Schedule: Monday-Friday, 8:30am-5:00pm, No nights or weekends!

Responsibilities

The Legal Receptionist will be responsible for providing daily Front Desk/Reception services and other office services support in a professional law firm setting, to include:

  • Answer all external and internal calls efficiently and route calls appropriately; Take accurate messages and relay messages via e-mail to attorneys and staff with a sense of urgency• Greet clients and visitors in a professional, courteous, and upbeat demeanor• Assist with special projects and clerical tasks, as needed; Coordinate all catering needs, including beverage set-up requirements• Utilize firm resources on a daily basis to access firm information• Update and maintain telephone list, suite maps, office roster, and staffing/visitor calendar; Reserve conference rooms/visiting attorney offices and arrange for AV needs utilizing scheduling software• Be familiar with firm personnel, policies, and procedures; Understand and apply all security procedures; Perform proper opening and closing procedures• All members of the firm are encouraged to participate in our Global Citizenship program; Other duties and projects as assigned

Qualifications

The Legal Receptionist qualifications include:

  • Two (2)+ years of receptionist and/or customer service experience preferred

  • Ability to address multiple tasks efficiently and effectively

  • Excellent communication and interpersonal skills; Exhibit and maintain a professional appearance, attitude and positive demeanor

  • Adhere to firm attendance and other policies

  • 40 wpm typing speed; Proficient in use of Microsoft Office Suite preferred

  • Ability to read and comprehend correspondence, memos, emails, and basic instructions; Ability to accurately write e-mails and telephone messages

  • Some college a plus

  • Willingness to cross-train for other job functions

  • Ability to lift up to 55 lbs
