Answers inquiries and obtains information from general public, customers, visitors, and employees. Provides information regarding the location, offices and employees in the organization. Assists the Office Manager when necessary with administrative duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Operates the telephone switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments when necessary.
Handles high phone volume in a positive and professional manner.
Greets persons entering establishment, determines nature of visit and directs and/or escorts the visitor to specific destinations.
File and maintain records.
Performs administrative duties such as, proofreading, transcribing handwritten information, and operating calculators or computers to work with pay records, invoices, balance sheets and other documents.
High School Diploma or GED and two to three years experience in related field.
Ability to operate a switchboard with ease. Microsoft Suite'Word, Outlook, Excel, PowerPoint (Intermediate and Advanced) a plus.
Ability to use active listening skills, articulate speech, critical thinking skills, and the ability to adhere to confidentiality. Ability to communicate effectively with people outside the company, representing the organization to the customers and public.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to apply concepts of basic algebra and geometry.
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
