This position reports to Kenjya-Trusant Group (KTG) HR Manager.
This is a temporary(November 2018 - early Jan 2019), part-time position (30 hours per week).
  • Objective:
    • Professional and hospitable receptionist to promote positive morale within the Corporate office as well as provide corporate support and representation to offsite employees and external organizations
    • Position is part time but attendance on a regular schedule is critical to the role
    • Provide back-up support for Human Resources tasks
    • Support office management function
  • Receptionist
    • Specific Tasks:
      • Answers main office phone and directs calls accordingly
      • Receives the public and answers questions, in person and by telephone; responds to inquiries from employees and refers, when necessary, to the appropriate department
      • Greet and manage guests/visitors
      • Manage conference room scheduling
      • Setup/cleanup conference room
      • Sorts and distributes mail
      • Create/send birthday cards
  • HR SUPPORT
    • Specific Tasks:
      • Support HR Manager by having all in-processing documents/supplies ready in a timely manner, specifically:
        • Pre-In processing tasks
        • Printing orientation binders
        • Create swag bag
        • Create personnel folders and in-processing checklist
        • Create SF312
        • Create Terms and Conditions
        • Email welcome emails to new hires
        • Send start and stop dates to appropriate departments/keep dates accurate
        • Scheduling first-day meetings with appropriate person
        • Enter new hire data in SharePoint main page (e.g., office phones, office locations)
        • Enter KTG anniversary and birth dates into SharePoint calendar
        • Enter new employee into Salesforce
        • Filing papers in personnel records
  • OFFICE MANAGEMENT SUPPORT
    • Specific Tasks:
      • Manage printer supplies, user lists, and coordinate maintenance activities
      • Ordering marketing supplies (e.g., mugs, lanyards)
      • Manage/edit phone number lists
      • Order food for meetings
      • Support proposal review, printing and packaging
      • Order business cards as needed
      • Purge records
  • COMPETENCIES
    • Communication proficiency written and oral
    • Thorough and detail oriented
    • Time management
  • COMPUTER SKILLS
    • Microsoft Office Outlook and Microsoft Word
    • General computer use saving files, data entry
    • Photocopier
  • SCHEDULE
    • 30 hours per week
    • Monday through Friday
    • Houre: 9 a.m. 3 p.m
    • Regular schedule will be set based on core hours and hires availability
  • PHYSICAL REQUIREMENTS
    • Regularly required to sit for extended periods of time
    • Regularly required to talk or hear
    • Ability to bend and kneel to stock supplies
    • Ability to lift 25 pounds to stock supplies
