Operations Associate (Receptionist)

TELCOR Inc, a nationally recognized innovator in the health care informatics industry, is looking for an energetic, focused, motivated team member to work as part of our Reception Staff. The Operations Associate will serve as a direct point of contact for customers through the management of in-coming calls, establishing a friendly, inviting atmosphere for customers, visitors, and coworkers, as well as providing administrative and front office management support.

TELCOR published office hours are Monday through Friday 7:00 a.m. to 7:00 p.m., excluding the following holidays: New Years Day, Memorial Day, Independence Day, Labor Day, Thanksgiving, and Christmas. The Operations Associate is full time / hourly position and eligible for employee benefits!

The hiring team is looking for candidates to work full time, Monday-Friday 6:45am to 3:15pm each day.

Responsibilities:

  • Adhere to all established policies, procedures, work processes, and guidelines for the company and administrative personnel

  • Adhere, develop, maintain, and update administrative and company reference manuals, work procedures, processes, guidelines, documentation and related materials

  • Answering incoming calls with a polite, friendly, helpful and energetic manner

  • Troubleshooting and routing calls to the correct individual or group

  • Monitor main entrance door, receive guests and service professionals, perform guest registry responsibilities and escorting guests as applicable

  • Copying, faxing, processing received faxes, distributing incoming mail, preparing outgoing mail and shipments, stocking and refilling supplies, ordering office supplies and validating received shipments

  • Participate in all necessary meetings

  • Train and assist coworkers with front office tasks

  • Providing assistance to all personnel, as needed

Requirements:

  • Professional and courteous demeanor

  • Energetic, outgoing, and friendly

  • Positive and cooperative attitude

  • Experience with multi-line phone systems

  • Strong problem resolutions skills

  • Knowledge of principles and processes for providing customer service

  • PC literate - must know Windows operating system environments and office tools; e.g., Word, Excel

  • Fluent in written and spoken English (North America) language

  • Competence in grammar and style of English (North America) language
