POSITION SUMMARY:Responsible for establishing the initial and on-going impression of the departmental functions to the patients, their families and/or caregivers, and all other customers. Responsible for the accurate and timely scheduling of patient appointments, the complete and accurate maintenance of medical records, and providing support to the clinical and administrative staff to enable the operation of the department to run as smoothly as possible on a daily basis.ESSENTIAL FUNCTIONS:* Schedules patient appointments according to facility standards; routinely scans in advance schedules to insure that there are no conflicts, all reports have been received, patients and/or referring physicians offices are contacted and authorization has been obtained. * Contacts patients at least one week in advance to confirm appointments, insure demographic information is correct. * Notes in chart pertinent patient schedule compliance information for physician and clinical staff (expired, refused to come, ect.)* Obtains signatures upon patient visit; insures that there is compliance with privacy rules, release of medical records, ect. * Provides answers to questions in a professional manner. * Obtains and verifies insurance information, insures that authorization for radiation services is obtained, files all insurance data in medical record for future reference * Collects deductible and co-payment amounts * Routes patients to immediate supervisor when indicated * Acts as an advocate and assists patient with insurance issues to ensure collection of outstanding accounts * Follow up with requests for Medicaid assistance * Accurately completes patient registration information and contacts the billing staff when changes are made that will affect reimbursement. * Obtains records from other physician's offices and facilities to insure that they are available and in the chart prior to the initial consultation according to facility standards. * Prepares new medical records in advance of patient encounter and insures that data is arranged correctly and complete. * Delivers charts to the clinic the day prior to the visit for nurse review. * Insures that the draft or final consultation is filed in the chart prior to the start of treatment. * Logs films in/out of facility and insures that records are returned or filed promptly. * Assists in chart review or audit. * Actively participates in charge or service review when requested. * Posts money collected promptly assists with reconciliation of charge reports and other internal data. * Acts as backup for patient financial counseling and insures that payment, insurance, and customer needs are met. * Performs internal quality assessment of customer services, charge entry, scheduling methods and works with supervisor to insure that facility standards are met. * Assigns ICD-9 and CPT codes as required. * Responsible for printing reports, dictation, and making sure that dictation is signed and placed in the chart within 3 days of the visit or encounter. * Promptly greets each patient and visitor. * Provides directions to other facilities and offices. * Monitors lobby for patients that have not been called to the clinic or treatment area on time. * Provides supervisor with timely information so that customer service is not negatively impacted. * Maintains refreshments in the lobby area * Insures that the lobby area is clean. * Monitors office supply inventory and places order as directed * Delivers and checks mail daily * Maintains logs * Monitors dictation status and insures that reports are dictated and transcribed promptly. * Maintains accurate logs for Iron Mountain storage. * Keeps accurate account of all records placed in storage, removed from storage, or destroyed. * Other duties as requested or needed.EDUCATION REQUIRED AND/OR PREFERRED:* High School Graduate or GED.LICENSURE/CERTIFICATION: * None required.EXPERIENCE REQUIRED OR PREFERRED: * 6 months minimum experience required. * One year experience preferredSKILLS, KNOWLEDGE, AND ABILITIES: * Demonstrated skills in organization. * Verbal and written communication * Customer Service * Math * Analysis * Reading * Following Instructions * Basic computer usage * Meditech and knowledge of insurance processes preferred
