Job Summary:

Greets, assists, and directs employees, visitors and vendors. Operates telephone console, covers receptionist posts, and provides clerical and special projects support for Manager, Conference Services, as needed. Responsible for attending to visitors and dealing with inquiries on the phone and in person. Supplies information regarding the organization to the general public, clients, and customers. Performs other clerical and administrative duties, as assigned.

Core Responsibilities:

  • Provides assistance, guidance and direction to visitors. Ascertains the nature of their business. Contacts host upon guest arrival and calls for an escort when necessary

  • Answers the phone, operates a multi-line telephone console in a timely, courteous, and accurate manner.Directs calls to the appropriate party. Retrieves any voicemails in the company mailbox. Takes and relays messages

  • Provides support to the Conference Center and Town Hall staff such as doing floor rounds (including setting of chairs, placement of flipcharts, turning off of AV equipment, etc.) conducting tours and restocking of conference room supplies, as needed

  • Administers conference room schedules (Conference Center), as required

  • Provides intake support through Service Now software program

  • Helps with set-ups of special events and with projects, as needed. May be required to register external guests for meetings

  • Prepares letters and documents. Receives, sorts, and distributes all incoming mail throughout the department

  • Schedules appointments. Maintains appointment diary, either manually or electronically. Organize meetings

  • Maintains a reception area that is clean, organized, and presentable

  • Greets visitors in a courteous, tactful, and timely manner, directing them to the proper personnel

  • Processes all incoming/outgoing deliveries from outside vendors

  • Inventories and orders all office supplies

  • Enforces the security standards set forth by Comcast Corporate Security

  • Performs clerical and other duties, as requested. Must have a working knowledge of Microsoft Office

  • Regular, consistent and punctual attendance. Must have flexible schedule to work mornings, evenings, weekends and overtime (as needed) as the events and conference schedule requires, sometimes without much notice.

  • Other duties and responsibilities as assigned

  • Demonstrates superior hospitality skills

Minimum Requirements:

  • High School diploma or equivalent education

  • Minimum 2-3 years dining, hospitality or conference center experience

  • Knowledge of Microsoft Office Programs

  • Demonstrated organizational and communication skills

  • Attention to detail and ability to meet deadlines

  • Generally requires 0-2 years related experience

  • Must be able to lift 50 lbs. Position includes moving easels, folding tables, chairs, high stools and rolling lecterns and coatracks
