Job Summary

  • Responsible for handling all front desk operations at the corporate office.

Essential Duties and Responsibilities

  • Responsible for greeting all individuals into the front office area in a pleasant manner and responding to their business needs

  • Monitor all visitors who enter the corporate facility for security purposes

  • Responsible for answering all incoming calls and responding appropriately to their requests or questions and taking messages when needed

  • Receives incoming telephone calls in a prompt and courteous manner and performs clerical duties as directed

  • Schedule conference rooms as needed

  • Processes all incoming mail and maintains the front office area

  • Assist Sr. Administrative Assistant with various meeting, event and day-to-day needs

Other duties as needed

Skills and Abilities

  • Ability to balance multiple tasks with changing priorities

  • Ability to work and think independently ensuring to meet deadlines

  • Demonstrated ability to maintain strict confidentiality and handle sensitive matters with discretion

  • Excellent attention to detail and organizational skills

  • Must have clear and professional communication skills (written and oral) both internally and externally

  • Proficient with Microsoft Office (Word, Excel, Outlook, etc.)

  • Effective communication and interaction with employees, clients, and colleagues and the ability to work effectively with all levels of the organization

  • Demonstrated customer service focus and client communication skills

Education and/or Experience

  • Minimum high school diploma or equivalent
  • 3 years of similar or related experience; reception and/or administration experience required

Duties and Responsibilities * Demonstrates positive customer service when performing the role of Receptionist, with residents, family members, facility staff and medical staff. * Displays flexibility, team spirit, compassion, respect, honesty politeness and accountability when dealing with residents, family members and facility staff. * Demonstrates an awareness of and sensitivity for resident's rights in all interfaces with residents and family members. * Operate company multi-line telephone console, dispatching calls, and taking messages. * Handling reception duties to include: screening front door visitors, signing for special deliveries and pickups, and welcoming guests. * Provides daily clerical duties as required, which may include faxing and scanning copies, prepare overnight packages, and other mail services. * Distributes sorts and collects mail. * Compose and process routine e-mail correspondence. * Assist in data entry as required. * Excellent communication and customer service skills are required during interaction with both internal and external professionals of all levels on a daily basis. * Must be computer literate, excellent working knowledge of all pertinent software. * Assist with Accounts Payable when necessary. * Demonstrate respect and compassion in every interaction. * Conducts oneself with the highest degree of honesty and integrity in every interaction. * Demonstrates a passion for caring as evidenced by interaction with co-workers and visitors.
