Responsibilities of the Receptionist and Administrative Assistant:

Under direction of the Senior Advisor and Executive Assistant or designee within the Office of the President and Executive Director, the employee will use his/her own creativity and discretion to perform the functions of this position. They will serve as the first point of contact for guests visiting the Commission and efficiently perform various administrative functions for the agency including but not limited to the following:

  • Serves as the agency's receptionist and first contact for all visitors.

  • Answers the agency's main telephone line and communicates with callers in a professional and courteous manner.

  • Routinely checks Outlook conference room calendars daily and assists with meeting/conference preparations. Works patiently with agency staff in planning meeting logistics. Routinely updates the distribution lists for the Commission and Committees.

  • Assists with purchasing for the Office of the President and Executive Director, by completing all appropriate finance-related forms to include purchase requisitions, purchase orders, procurement justifications, invoice approval forms, etc. Manages the agency's lodging purchasing card and assists staff with lodging arrangements.

  • Maintains Office records and assists with archiving agency files according to retention rules and regulations. Coordinates digitization projects including vendor research and creation of an inventory of records prior to digitization. After each CHE meeting, coordinates the finalization of reports for submission to the state library.

  • Collects mail daily and accurately distributes mail to the appropriate Office mailbox in a timely manner ensuring that each piece of mail is date stamped.

  • Provides administrative support for other tasks as necessary.

Minimum and Additional Requirements

A high school diploma and at least three (3) years' work experience directly related to providing administrative support. An associate's or bachelor's degree in a relevant field may be substituted for relevant work experience.

Additional Requirements:

  • Ability to learn and understand functions, laws, rules and regulations pertinent to the agency.

  • Ability to communicate effectively in writing and verbally.

  • Ability to utilize Microsoft Office products efficiently.

  • Experience working in a customer service oriented and fast-paced environment.

  • Proficiency in Microsoft Office Suite and Adobe products.

  • Position may require employee to report to work during emergency situations.

  • Some experience in planning/organizing meetings and events.

Preferred Qualifications

An associate's or bachelor's degree is preferred.
